How do I find donations for one specific account?

A donor may contact you at some point and request a list of their transactions within a certain date range. Particularly, this may happen towards the end of the year when a donor would like a list of each of their donations made in that year for tax purposes.

We can run a query to find the giving history for a specific donor or set of donors. The query can then be used to run a report to display additional information. We have two methods of running this query, which will yield the same results.
Query Method 1
  1. Click Queries
  2. Click Manage Queries
  3. Select a category that you want to store this query in
  4. Select New Query under the Tasks menu
  5. Name the query
  6. Set the Starting Query to Base/All Constituents
  7. Set the Data Return Type to Journal Entries 
  8. Under Criteria Matching select Match Each Criteria
  9. Select Commonly Used Fields from the Available Fields drop down menu and click on Individual Transaction Received
  10. Fill in Greater Than or Equal To/$0.01
  11. Select Account from the Available Fields drop down menu and click on Account Name
  12. Fill in the donor’s account name
  13. Click the plus icon and repeat Step 12 if you’d like to search for more than one donor
  14. Click Save and View Queries
Query Method 2- we'll use this method if we have multiple accounts that have the same name (for example, we might have two donors named John Smith, but we're only looking for donations from one of those accounts)
First, we'll create a Custom Account Query to locate the donor's account:
  1. Click Queries
  2. Select a category that you want to store this query in
  3. Select New Custom Account Query
  4. Name the Query Custom Account query for a Single Account
  5. Set the Data Return Type to Accounts
  6. In Select Accounts, click Add
  7. Search for the account you want to report on
  8. Click the account name
  9. Close the window
  10. Click Save and View Queries 
Then, we'll build a query based on the Custom Account Query and return the Donations for that Account:
  1. Click Queries
  2. Select a category that you want to store this query in
  3. Select New Query under the tasks menu
  4. Name the query All Donations for a Single Account
  5. For the Starting Query, choose the category in which you saved your custom account query and then choose the Custom Account query for a Single Account that you just created
  6. Set the Data Return Type to Journal Entries
  7. Under Criteria Matching select Match Each Criteria
  8. Select Commonly Used Fields from the Available Fields drop down menu and click on Individual Transaction Received 
  9. Fill in Greater Than or Equal To/$0.01
  10. Click Save and Preview
