For this example, we will have an event that has two types of tickets- one for VIP tickets and one for General Admission tickets. For information on building User Defined Fields for each of the ticket types, see How to create a Ticket Quantity User Defined Field. We will also have a drop down menu on the form for Seating Preference and a text box for Additional Guest Names that we also want to see in the report. Example Event Registration Page



First, we'll create the query to find everyone who purhcased a ticket to the event:
  1. Click Queries
  2. Click Manage Queries
  3. Select a category that you want to store this query in
  4. Select New Query under the Tasks menu
  5. Name the query Ticket Sales
  6. Set the Starting Query to Base/All Constituents
  7. Set the Data Return Type to Journal Entries
  8. Under Criteria Matching select Match at Least One Criteria
  9. Select UDFs- Transaction from the Browse Fields drop down menu and click on VIP Tickets
  10. Fill in Greater Than or Equal to 1
  11. Select UDFs-Transaction from the Browse Fields drop down menu and click on General Admission Tickets
  12. Fill in Greater Than or Equal to 1
  13. Click Save and Run Report
Then, we'll create a report to display the information about the ticket sale, including the seating preference and additional guest names:
  1. Click Reports
  2. Click Manage Reports
  3. Select a category that you want to store this report in
  4. Select New Report under the Task Menu
  5. Name the report
  6. In the Group By drop down menu, select Accounts
  7. Under the Group selection choose to Show Group Totals
  8. Select Commonly Used Fields from the available fields and click on Account Name and Received
  9. Select User Defined Fields- Journal  from the available fields and click on VIP Tickets, General Admission Tickets, Seating Preference, and Additional Guest Names
  10. Arrange the columns into order by clicking on the middle of the field column and dragging up or down.
  11. Click Save and Run under the Task Menu
  12. Under Query select your category in the top box and your Ticket Sales query in the bottom box
  13. At the bottom of the page select a Delivery Option and then click Submit
