This feature in Batch is included as part of the Batch commit process. It is located on the General tab of the Commit Gift Batch settings:

Use this carefully for when this is marked, this will override any manual pledge and/or recurring gift linking completed in the course of gift entry.

When this is marked, the program will look for any active outstanding pledges and/or recurring gifts on the constituent's Gift tab:
  • An active recurring gift has a status of Active and no Transaction Pending flag** present.
  • An active pledge has a status of Active**, a balance greater than $0, and no Transaction Pending flag** present.
  • **These are only applicable if the RE:EFT module is present.
If an active pledge and/or recurring gift is present, the program will then consider the following information:
  • For a pledge, the program will look for the oldest / earliest installment with a balance greater than $0
  • For a recurring gift, the program will look for the Next Transaction Due date
Once the oldest / earliest installment (pledge) or transaction (recurring gift) is determined, the gift will apply to that:
  • If it's a pledge, the gift will start on the oldest / earliest installment and apply to as many scheduled installments after that as possible. If you suspect this could happen, please review batch section of How to overpay a pledge.
  • For a recurring gift, it will apply to the transaction dated as the Next Transaction Due date. Unlike a pledge, this will only apply to one transaction (i.e., the payment does not "roll over" to future unpaid transactions). If the payment is more than the recurring gift amount, the transaction amount will reflect that.
Additional notes:
  • If a gift cannot be automatically applied, then it will commit to the constituent's record as the type entered in Batch.
  • Each gift is automatically applied to just one recurring gift or pledge.
  • The pledge or recurring gift must be on the same record as the constituent listed in the batch. A gift cannot be automatically applied to pay someone else's pledge.
  • If the gift entered in the batch over several funds, the program selects the pledge or recurring gift with the same funds. When an exact match does not exist, the program selects a pledge or recurring gift with at least one common fund listed on the constituent’s record unless the Only apply to pledges and recurring gifts with the same fund(s) is marked. the logic above is the same, except that the gift fund and the pledge or recurring gift fund must match.
  • If the Only apply to pledges and recurring gifts with the same fund(s) is marked. the logic above is the same, except that the gift fund and the pledge or recurring gift fund must match exactly.
