Make changes so that there are no assets in your system with a Class or Cost Center of 0. The 0 Class or Cost Center most likely has a description of “created by posting” on it if you look in the Class/Cost Centers setup tables.  Cobol ignores the zero, but windows needs to see a 1 to 9999.  Some of your assets may have a 0 Cost Center and some may have a 0 Class.

When looking at Fixed Asset screens and reports, the terms below are interchangeable:
Class = Group
Cost Center = Location

1.  Run the Asset Master report to find assets with a 0 for the Group or Location:
a.  From the Report Manager, select the Fixed Asset Module, and select Report Category Asset Reports.
b.  Highlight the report Name FXMASTR Asset Master and click on Produce.
c.  Click OK in the Produce screen.
d.  Use the binoculars to find any assets that have the word “created” on them, since the system does not handle zeroes well and it is hard to get them all using a filter criteria of zero.

***No one should be in Fixed Assets when you are running the system utility steps below**.

2.  If the assets are marked disposed, you will need to remove them in Division 00 System Admin.  Each asset must be removed individually and the asset number can be used again afterwards.  The FXA918 report is created for an audit trail.
To remove disposed assets:
a.  Select File> Open FundWare> Division 00 System Administration, Allow the business date to default to today's date, and click OK.
b.  Select System Administration> System Utilities.  Enter the following in the Execute Program portion of the screen:

     Program name                 FXA918
     Switches                            20
     Parameters                      (blank)
     Enter today's business date.
     Select the appropriate Division
     Click Run.
Press "Y" to agree to remove an asset.

c.  Press "Y" to file a report.
d.  Enter the asset number you wish you to remove.
e.  Type "Y" to agree to remove an asset and press Enter.
(**You must type in Y  for step 2e, or the asset will not be removed.)

3.  Assign the other assets a valid group or location number other than zero (or you can remove them with the steps above).  You can change them either by running the program below, or by changing in the Windows Fixed Asset screen with the “Modify” button.

If you run a program to change the asset, you will be able to post them all together, rather than individually. You can change the group and location on different asset numbers and when you hit Escape, you then have the option to Post and it will do them all.

a.  Select File> Open FundWare> Division 00 System Administration, allow the business date to default to today's date, and click OK.
b.  Select System Administration> System Utilities.  Enter the following in the Execute Program portion of the screen:

     Program name                 FXA020
     Switches                            20
     Parameters                      (blank)
     Enter today's business date
     Select the appropriate Division
     Click Run.

c.  Type the asset number and press Enter.
d.  Type either 5 for Group or 6 for Location, for the field to be changed and press Enter.
e.  Type the correct Group or Location number and press Enter.
f.   Type in 0 to accept the change and press Enter.
g.  Press ESC and type in E to End.
h.  If you have more assets to modify type C to Continue and type in C to Change, then type the next asset number.
i.   If you are finished modifying, after typing E to End, type P to Post and the screen will close.

If you are not comfortable with using the program, you may also change assets in the Windows Fixed Asset screen with the “Modify” button. You will see in there, that the assets don’t have a Class or Cost Center number on them.

a.  From Fixed Assets> Open highlight the asset and click on Modify.
b.  Click on the drop-down for Class or Cost Center and select the correct option.
c.  Click Post and Ok on the pop-up screen.
