I. Export and Upload for Processing:

  1. Create an export process containing the following fields:
    • Lookup ID
    • Constituent Type
    • First name
    • Middle name
    • Last/Organization/Group/House name
    • Suffix
    • Primary Address
    • Primary City
    • Primary State
    • Primary ZIP
    • Primary Country
    • Primary Address Type
    • Primary Address System Record ID
  2. Export as a .csv file.
  3. Transfer the file to our FTP site.
  4. Email addressfinder@blackbaud.com to notify a project coordinator list the file is ready. Please provide Site ID and name of service (Canadian NCOA.)
    • Note: The file will take 3-5 business days to process.
II. Download and Import
  1. Download the zip file from our FTP site.
  2. Unzip the files.
  3. Create Batch Template:
    1. Click Administration.
    2. Click Batch.
    3. Click Batch Entry.
    4. Click Batch Templates.
    5. Click drop down in front of Constituent Update Batch.
    6. Click Copy.
    7. Name Template. Ex) CNCOA.
    8. Click Save.
    9. Click drop down in front of the Batch that was just created.
    10. Click Edit.
    11. Click Configure options tab.
    12. Click Constituent updates tab.
    13. Scroll to Address updates options. Our recommended settings are:

  1. Unmark Use global setting if applicable and select your preferences.
  2. Click Save.
     4. Create the Import Process:
  1. Click Administration.
  2. Click Import.
  3. Click Add.
  4. Click the plus sign icon in front of Constituent.
  5. Select the new batch template that was created.
  6. Click OK.
  7. Name the import process. Ex) CNCOA_01_12_17.
  8. Click the green icon with the up arrow from File and browse to the results file that was downloaded.
  9. Click  Map fields tab.
  10. Click Auto-map.
  11. Click Addresses line.
  12. Click Map collection field.
  13. Enter in the number two in box for Number of Addresses.
  14. Click Enter. Note: A Required field missing: Import file column will appear. Click OK.
  15. Click Auto-map.
  16. Click OK.
  17. Click Save.
    5. Start the Import Process:
  1. Click the import process that was just created.
  2. Click Start process.
  3. Click Go to batch entry.
  4. Click the drop down in front of the new batch that was created under the Uncommitted Batches tab.
  5. Click Commit.
  6. Mark the following:
    1. Validate Batch Before committing (can be left unmarked if this was already built into your import template settings.)
    2. Check for duplicate constituents.
    3. Create Exception batch named: Exceptions from CNCOA screening.
    4. Create control report.
    5. Create output selection and name it.
  7. Click Start
