How to update existing accounts using the Account Information by Account Number Import (includes sample data file)

We can update existing account information using the Account Information by Account Number Import. We use this import when we need to update User Defined Fields and Persona information (except salutations and names) for existing Constituent accounts.
Required Fields
  • Account Number
  • Country
Information that we can update using an Account Information import
  • Constituent Persona information (except Salutations) for existing Personas
  • User Defined Fields on the Personas or Defined Fields page of a Constituent account
What we cannot include on an Account Information import
  • Journal entries
  • Salutations, including Long Salutation, Short Salutation, and Envelope Salutation
  • Account Name
  • Sort Name
  • Team, User, or Tribute Accounts
  • Relationships
  • New Constituent accounts
  • New Personas

Steps to import

  1. Click Management
  2. Click Import
  3. Select the category where you'd like to store the template
  4. Click New Import
  5. Enter a name for the template
  6. Click Browse Files/Choose File
  7. Select the file from your computer
  8. Select Update Account Information by Account Number from the drop down menu below the heading that says Select the Type of Information to Import
  9. Select the appropriate Country from the drop down menu (please note that all of the accounts included in this import must be from the same country)
  10. Select the appropriate Multi Select Delimiter from the drop down menu; please see What is the function of the Multi Select Delimiter?
  11. Click Next
  12. Click the arrow icon to the right of the Account Number field
  13. Select the corresponding column from the CSV file
  14. Repeat for all of the fields in your import file
  15. Click the link that says Import Another eTapestry Field at the bottom of the screen
  16. Click the names fo the additional fields you'd like to import (for example, Email, Address Lines, City, State, and Postal Code)
  17. Click the green arrow icon next to the names of these fields
  18. Select the corresponding column from the CSV file
  19. The database will automatically use the Account Number as the duplicate key, but if you'd like to import to a specific Persona, we can also mark the checkbox next to Persona; for more information, please see What is the function of the Import Key?
  20. Click Next
  21. Preview the layout of the imported information
  22. Click Next
  23. Preview the duplicates and select how you would like to handle the information (if there are no duplicates, the database will skip this step).  You may choose the same option for all rows of duplicates and click apply, or choose a different option for each row.
    • Only Import Into Empty Fields (Merge) will only add new information from the CSV file, but it will not replace any existing information
    • Don't Modify Any Account Info (Trust) will not change anything on the existing accounts, it will also not add any new information from the CSV file
    • Replace eTapestry Info (Replace) will override the existing information in eTapestry with the information in the CSV file
    • Ignore this Line (Ignore) will not import any information from this line in the CSV file to eTapestry
  24. Click Next
  25. Click Run to process the import
