In GIFTS Online, when a user inserts an Organization record, the system will pick up on the name of the Organization and perform a search to ensure that there are no Duplicates that exist in the foundation's database. However, there are isolated incidents where the system is unable to pick up on the name, which runs the risk of having duplicate records.
The cause of the Duplicate Check being skipped in some instances was revealed to be a system Bug in GIFTS Online version 6.3. The Duplicate Check process will not initialize if the Organization name being inputted is less than three characters or greater than thirty-nine characters. As this is the case, we recommend the following short-term solutions:
1) Ensure that you are inputting Organization Names that are between three (3) and thirty-nine (39) characters in length. 2) If the Organization name cannot be increased from two characters or decreased from forty characters, perform the Consolidate Duplicates action manually after inserting the record.
