Required Field Missing: Educational institution name\Educational Institution when Importing using the Educational History Update Batch

When using the Educational History Update Batch to update an existing educational history on a constituent record and using the GUID for the Educational History in the import\CSV file, the Educational Institution and Educational Institution Name along with any data that needs to be updated that is contained in the csv file is not populated into the batch upon running the import process which results in batch errors,

"Required field missing: Educational institution name" , "Required field missing: Educational institution"

Along with the batch errors, any data in the csv file that was populated, such as Educational program and Educational degree are blank in batch although they are in the CSV file and mapped in the import. If the batch is then committed with those errors, even with the "Validate batch before committing" option set on the batch template and checked in the window that comes up when the batch is committed, an exception batch is not created for those records and the batch is allowed to commit. Upon viewing the committed batch the errors are still there.

When looking at the constituent's record after the batch is committed, the Educational institution name and Educational institution were not blanked out on the Educational history record, even though they were blank in batch but they are not being pulled into the batch for an existing educational history. Additionally, the data that needed to be updated that was blank in batch, does update on the constituent's educational history. For example the Educational program and Educational degree fields that were displayed as blank in the batch, but included in the import and csv file, do appear on the record as being updated, but the issue is they do not appear in batch.
We are currently evaluating this issue for a fix in a future service pack.

 

Steps to Duplicate

1. Go to Administration\Tools\Import. On the top left under task click on Generate import header file and select the Educational History Update Batch template and then click OK to download the file

2. In the file populate the following fields and then save the csv file:

      a. Educational history-for this field use the GUID for the existing educational line needing to be updated on the constituent's record which can be obtained from query using the outputted system id.
      b. Constituent
      c. Lookup ID
      d. Last name
      e. First name
      f.  Educational institution-leave this blank
      g. Educational program
      h. Educational degree
      I. Educational institution name-leave this blank

3.  Go to Administration\Administration\Batch\Batch Entry\Batch Templates on the left hand side underneath Configuration. Edit the Educational History Update Batch template and ensure that on the Configure Options tab that Validate batch before committing is checked as well as create exception batch.

4. Go to Administration\Tools\Import and add a new import process using the Educational History Update Batch template

5. After selecting the file created in step 2 map the following fields in the import process and then click Savea. Educational history

                a. Educational history
                b. Constituent
                c. Lookup ID
                d. Last name
                e. First name
                f. Educational institution
                g. Educational program 
                h. Educational degree
                I. Educational institution name

6.  Start the import process and note that no records were rejected and there are no batch errors in the Recent Status results of the import process

7. Click the hyperlink for the batch created and note the errors:

"Required field missing: Educational institution name" 

"Required field missing: Educational institution"

Also note that the Educational program and Educational degree fields are blank.

8. Commit the batch, note that no exception batch is created

9. Open the committed batch and note that the errors are still there and the Educational program and Educational degree fields are still blank.

10. Go to the constituent record and note that the Educational institution name was not blanked out and note that the Educational program and Educational degree fields were updated with the data that was in the CSV file but was not visible in batch.
