Membership reporting numbers incorrect

When running membership reports for more than one month, numbers do not match if the exact same numbers are used in query.

This can happen if more than one transaction occurred for a constituent(s) during that time frame such as a renewal, then upgrade. To report on the same membership numbers in query, it may be necessary to output transaction date to account for both transactions.

To accurately query on membership transactions: 
  1. Go to Analysis > Information Library
  2. Click Add an ad-hoc query
  3. Select query view of Memberships
  4. On the far left box click Membership Transaction
  5. In the center box select Transaction date (date only) and drag into Include Records Where:
  6. Select your date range
  7. In the center box select Action and drag into Include Records Where:
    • For renewals, Select Is One Of from the dropdown and select Renew, Rejoin
    • For joins, select Join
    • For downgrades, select downgrades
    • For upgrades, select Upgrades
  8. In the center box, select Transaction date (date only) and drag into Results fields to Display
  9. Output the rest of the information you would like to see

Steps to Duplicate

  1. Go to Memberships
  2. Select Membership program
  3. Run Membership Renewal Report for a month date range
  4. Query on the same date range gives you the same number of transactions
     

 

But if you expand those dates

  1. Run Membership Renewal Report for more than a month and you see one number
  2. Run same query on the same date range gives you a lower number
