1. Create your data file with the records to be updated.
    1. Determine the records to be included in the screening.
      • EmailFinder must match on full name and address in order to return an email.  In addition, EmailFinder does not currently verify existing email addresses.  Therefore it is recommended that a query is used including only constituents with a street address, but not email address.
      • Ensure all records you submit to Blackbaud have at least one address line. We recommend you first run AddressFinder prior to this service so that all addresses are current and in a standardized format.
    2. Include the following fields in a CSV (Comma Separated Value) file export of the records. If you need assistance with this, contact the support team for your database:
      • Biographical: First Name
      • Biographical: Middle Name
      • Biographical: Last Name
      • Biographical: Import ID
      • Preferred Address: Import ID
      • Preferred Address: Address Line 1
      • Preferred Address: Address Line 2
      • Preferred Address: City
      • Preferred Address: State
      • Preferred Address: Zip Code 
        • Note: The ID fields above are common types of IDs. However, they may not apply to your database. Please provide corresponding IDs that are compatible with your database.
  2. Create an opt out email document
    1. Create a document using the below template to setup the email message that will be sent to each email we find.  The bold formatted text is required, and is the only part of the email that can be changed.  To purchase a customized broadcast email, please contact your Account Executive:

      Subject: [Enter the organization name and a few descriptive words not to exceed 55 characters]
      We are in the process of updating our database. Your name and address are in our database but we would like to know if we have your correct email address.
      Email is an inexpensive and effective means to communicate with our constituents and we would like to use it to contact you.

      Thank you for your support.
      If you do not wish to receive e-mail from our organization please click here and you will be removed from our mailing list. 
  3. Submit your data.
    1. Upload the files created in steps 1 & 2 to your Blackbaud FTP.
    2. Email addressfinder@blackbaud.com with your Site ID and the name of the service(s) that you would like your file to be screened through.  An email notification will be sent to you in 3-4 weeks once the results are ready for download.
  4. Download your data
    1. Once your screening is completed you will receive an email notification that your results are ready to be downloaded.
    2. Download your results from your Blackbaud FTP.
  5. Import the results into your database.
