One of the fields eTapestry does track for Everydayhero transactions is the Receipt number. This receipt number is also present in Everydayhero settlements, and should be assigned within Everydayhero in numerical order. For example, if a settlement in Everydayhero contained 5 transactions and the first listed transaction had a receipt number of 100, the remaining 4 transactions should have numbers of 101, 102, 103 and 104.

This means we can create a query within eTapestry that will pull transactions by receipt number within the range shown in the Everydayhero settlement report, and it will return the same set of transactions. We can then run a report with this query to show the receipt numbers on the eTapestry transactions, so the two databases can be reconciled:

A. First we create the query, for this example we will look for transactions with a receipt number from 100-104:

  1. Click Queries in the menu
  2. Click Manage Queries
  3. Click on a category to store the query under (ex: Base)
  4. Click New Query under Tasks
  5. Give the query a name “Transactions in receipt range”
  6. Set the Starting Query to Base>All Constituents
  7. Set the Data Return Type to Journal Entries
  8. Select Journal in the Browse Fields section and click on Transaction Receipt Range
  9. In the ‘Start receipt number’ fill in 100
  10. In the ‘End receipt number’ fill in 104
  11. Select Commonly Used Fields in the Browse Fields section and click on Journal Entry Date
  12. Set the Range Type to Last 30 Days
  13. Click Save And Run Report

 

B. Now for the report:

  1. Click Report in the menu
  2. Click Manage Reports
  3. Click on a category to store the report under (Ex: System)
  4. Click New Report under Tasks
  5. Give the report a name
  6. In the Browse Fields section select Commonly Used Fields and click on Account Name, Date, Fund and Received
  7. In the Browse Fields section select Journal Fields and click on Receipt
  8. In the Browse Fields section select User Defined Fields: Journal and click on any of the Everydayhero fields you’d like to include
  9. Click Save And Run
  10. Set your query at the top of the page to “Transactions in receipt range”, the query we created in Step A
  11. Set your Report Format to Display Results on Screen
  12. Click Submit
