To track who is using a guest pass:
First to track who is using a guest pass, you must make sure that the user of the pass is entered as the Patron on the order. 
  1. In the Patron field, find or add the guest pass redeemer as a constituent in your database.

  2. Next ring the Order
  3. To apply a pass, click Apply Pass
  4. Altru will show you the passes issued to this person by default, but to see other patron's guest passes, click the magnifying class icon and search for the name of the person that the Guest Pass is issued to.

  5. Click Complete to finish the order. 
Next, to see who used the guest pass, you can pull a query following these steps: 
  1. Go to Analysis > Information Library 
  2. Click Add an ad-hoc query
  3. Select the source view of Sales Order and click OK. 
  4. First, to find any Sales orders that used guest passes, in the left column, expand Sales Order Item, then Sales Order Item Ticket, then highlight Guest Passes. From the middle column, drag Number Redeemed to Include Records Where. Set this to be greater than 0 to find any orders that redeemed guest passes.

  5. Next to find any details about the guest passes redeemed, drag any of the following fields from the middle column to Results Fields to Display: 
    1. Number Redeemed
    2. Number Issued 
    3. Number Remaining 
    4. Source (this will indicate whether the guest passes were originally issued to the constituent through a membership or through their constituent record) 
    5. Expiration Date
  6. To find details about who the guest pass was issued to, expand Guest Passes in the left column and highlight Constituent. From the middle column, drag Name to Results Fields to Display.

  7. To see any details about who used the guest pass, scroll up to the Constituent node in the left column. Highlight the Constituent node and drag Name to Results Fields to Display:

  8. Add any additional details you'd like to display. 
  9. To save your query to access later, name your query on the Set save options tab and click Save and Close.
