The Duplicate Constituent Management Tool has a programmed check which automatically disregards imported records that have 5 or more possible duplicates. This is intended to maintain efficient performance of the tool, and often occurs when placeholder names are used in the database (such as Anonymous).
We have evaluated this issue as a bug and we have determined it will not be addressed in the program in its current state. In this case, we believe the risks and challenges outweigh the potential benefit of resolving this issue.
To avoid this issue: When importing new constituents, utilize the Use duplicate criteria for new records to check a data set for possible duplicates with existing records in The Raiser's Edge. Also, regularly run the Duplicate Constituent Management Tool in order to catch possible duplicates before there are more than 5 possible duplicates.
Steps to Duplicate
In the sample Raiser's Edge:
Complete an import of new constituents using a formatted import data file that has the same information (name, address, and an email) on multiple rows.
Go to Admin > Duplicate Constituent Management Tool.
Run a new search for individuals or organization (depending on records in the file).
Review the results. The imported rows will now show.
Close the Tool.
Navigate to Records > Constituents and search for one of the imported new constituents.
Open any of the records.
In the open constituent record, click on Constituent in the top menu bar and then Search for duplicates.
The imported duplicates will appear in the results.
