See below for a comprehensive list of actions that may or may not cause the system to recategorize applications from Submitted to Drafted.  Please note that certain actions on the General/Conditional Application differ from actions on an Apply-To opportunity:

The following actions WILL cause applications to revert from Submitted to Drafted:
  • Making an optional question required on the General/Conditional Application, for all applicants that do not already have that question answered
  • Adding a new required question on the General/Conditional Application
  • Modifying an answer choice on a required General/Conditional Application single- or multi-select/radio buttons/checkboxes question that an applicant has chosen.  When answer choices are modified, update your qualifications as necessary.
  • An applicant un-answering a required question on the General/Conditional Application, or an applicant editing their application after it was originally submitted, but neglecting to click Finish and Submit again
  • Adding or reducing the word count on a General/Conditional Application essay question, for all applicants with answers that are above the max word count that is set
The following actions will NOT cause any changes in an application category:
  • Changing a question from required to optional
  • Removing a required question
  • Adding a new required question on an Apply-To opportunity
  • Modifying an answer choice on a required Apply-To single- or multi-select/radio buttons/checkboxes question.  The old answer will no longer be an answer choice on the question, but the system does not delete an existing answer.  When answer choices are modified, update your qualifications as necessary.
  • Adding a new answer choice to a required General/Conditional Application or Apply-To single- or multi-select/radio buttons/checkboxes question.  Although applications are not reverted to Drafted, this is not best practice.
  • Removing an answer choice on a required General/Conditional Application or Apply-To single- or multi-select/radio buttons/checkboxes question that an applicant has already chosen
If you have made a change in your system and want to UNDO it, then you'll need to retrace your steps.  By undoing your changes, the system will set applications back to Submitted, and previous answers will repopulate.

If you have made a change in your system and want to keep your changes, then you will likely need to alert applicants with an Ad Hoc email that they need to resubmit their application.  In anticipation of changes being made, please check the delivery settings of the "General or Conditional Applications Reverted to Drafted" email notification.
Tip: We recommend waiting until Cycle Management to make updates to your General/Conditional Applications.
