Error: Application [XXXXX]: Error occurred while retrieving applications. Error occurred while creating a new Application from a GAD document. [System Error # XXXXXXXX] – when trying to retrieve application
If you encounter this error, be sure to check to confirm that you have the State field formatted properly for this online application form.
One of the most common causes for this specific error is having the "State" field configured as a blank text field within the forms designer (as opposed to providing a preset list of state codes from which the applicant selects the appropriate value). By leaving “State” formatted as a free-form text field, applicants can enter invalid values for this field which will result in error upon attempted retrieval (since BBGM application forms will only accept two-letter state code abbreviations and will reject anything else).
For example, an applicant could type "New York" in the State field when filling out the application form instead of using the only acceptable field value for this state (“NY”).
Here’s how you can reformat this field so that it becomes a single-select field (i.e., select from a preset list of values):
1. Click Launch 2. Click Applications 3. Select Forms Manager 4. Click on the name of this form 5. Click Deactivate (if form is already Inactive, skip ahead to step #8) 6. Click to select Inactive forms from the list of options displayed to the left 7. Click on the name of the form again 8. Click Open 9. Click to highlight/select the State field 10. Click Edit Codes (from the options listed to the right) 11. Mark the checkbox for Select All in the Selected Codes column 12. Click OK 13. Click Save and Close 14. Click to highlight the name of this form once again (on the Forms Manager screen) 15. Click Activate.
