Can I change the Course Settings for Total Credits after term and/or historic grades have been entered for the course?

You can change the credits awarded by a course, but please be aware that this will impact historic records for the course. Additionally GPAs, past/present/future that involve the course will be affected.

Changing the Total Credits for a course will update 'Credits Earned' retroactively/historically for students, which will in turn impact their GPA. (see the .SWF video attached to this article to see an example of a historic grade changing in the 'Academics> Grades> Grades Management> Enter Grades by Student' (formerly Manage Grades) view)

In most all cases, it is best practice/data management to Create a New Course with the different credit value going forward. The old course can be set as 'Inactive'. If making many course/credit changes, you may also consider creating new Grade Average Calculations (aka GPA Calculations), which then in turn would require other changes (Performance Calculations, Report Cards, and Transcripts).

If you would like to proceed with changing the Total Credits awarded for a course:
  1. Navigate to Academics> Scheduling > Requests & Schedules > Departments & Courses (If making this change retroactively, you may also need to filter for 'inactive')
  2. Edit the Course (pencil icon to the right of the course name)
  3. Click on the Grading tab
  4. Edit Total Credits
  5. Click Save & Close
To check if Specify Credits Awarded per Term is marked (default is unmarked):
  1. Navigate to Academics> Scheduling > Requests & Schedules > Departments & Courses
  2. Edit the Course (pencil icon to the right of the course name)
  3. Click on the Grading tab
  4. Specify Credits Awarded per Term is located just below 'Total Credits:'

If Specify Credits Awarded per Term is marked:

  1. Navigate to Academics> Scheduling > Requests & Schedules > Offer Course
  2. Filter for school level and term of initial offering for course (If making this change retroactively, you may also need to filter for 'inactive')
  3. Expand the department by clicking the arrow just to the left of department name
  4. Click 'Edit Credits' to the right of the course name
  5. Change credits per term to total the new credit amount
  6. Click Save & Close
