What do the checkboxes on the Gift Types tab do?

The Gift Types tab on reports and mailings includes the following options:
  • Exclude zero amount gifts
  • Use sale date for sold stock/property
  • Use sale amount for sold stock/property
  • Subtract broker fee from sold stock/property
  • Use gift balance instead of gift amount
  • Calculate gift balance based on date range, campaign, fund, and appeal

In Reports and Mail functions, the Gift Types tab often includes these checkboxes, which enable you to filter what gifts are included and how their amounts and dates are calculated.

  • Exclude zero amount gifts: This is the only checkbox that defaults to marked. If you do not want to include gifts entered or adjusted to zero, mark the Exclude zero amount gifts checkbox.
  • Use sale date for sold stock/property: If you want to use the date the stock was sold as the gift date, mark the Use sale date for sold stock/property checkbox. If the sale date does not fall within the date range you entered on the General tab, the gift is not included.
  • Use sale amount for sold stock/property: If you want stock and property gifts based on the worth of the stock and property at the time of the sale instead of at the time your organization acquired the gifts, mark the Use sale amount for sold stock/property checkbox. Also, marking this checkbox enables the Subtract broker fee from sold stock/property checkbox.
  • Subtract broker fee from sold stock/property: If you want the report to calculate the gift amount of sold stock and property gifts minus broker fees, mark the Subtract broker fee from sold stock/property checkbox. The checkbox is enabled only when the Use sale amount for sold stock/property checkbox (above) is marked.
  • Use gift balance instead of gift amount: Mark this checkbox to include a pledge's outstanding balance, not its original amount. If you include pledges and pledge payments in the same function, marking this option ensures your pledge totals are not inflated. If you want to see the balance remaining for recurring gifts, make sure Recurring Gift is in Include these Gift Types box and mark this checkbox.
  • Calculate gift balance based on date range, campaign, fund, and appeal: Mark this checkbox to calculate pledge balances based on:
    • The General tab's date range
    • The campaign, fund, and appeal filters you specify on the Filters tab
    If you do not mark the checkbox, pledge balances are calculated as of the current date, not the General tab's date range, and they reflect pledge activity in all campaigns, funds, and appeals, not just those you specify on the Filters tab.

    For example, Erin Kelly makes the following pledge and payments:

    • 01/01/03: pledge $1000 to the Campaign for Excellence
    • 04/01/03: pledge payment $200 to the Annual Campaign
    • 09/01/03: pledge payment $100 to the Campaign for Excellence

    Scenario 1:
    On the General tab, the date range from 01/01/2003 to 06/30/2003
    On the Filters tab, Include All is selected for everything
    Calculate gift balance based on date range, campaign, fund, and appeal is marked
    Results: Shows Erin Kelly with a balance of $800 because the payment made on 09/01/03 was made outside of the date range and is not included.

    Scenario 2:
    On the General tab, all dates is selected
    On the Filters tab, Selected Campaigns, the Campaign for Excellence is selected
    Calculate gift balance based on date range, campaign, fund, and appeal is marked
    Results: Shows Erin Kelly with a balance of $900 because the payment made on 04/01/03 did not meet the criteria on the Filters tab. It was to a different campaign than is selected on this tab.
