Note : Before you proceed with the following instructions, back up the database. If your organization integrates multiple Blackbaud products, refer to the Additional Requirements section of the backup article.  Notes:

  • If The Raiser's Edge is integrated with The Patron Edge, the entire record is merged rather than the specific information selected on the Merge Constituents screen and the source record will be deleted.
  • In order to merge constituents, they must be of the same record type. For example, you can only merge an individual constituent with another individual. For information on converting a record to another record type, refer to How to convert individual records to organization records and vice versa

To merge the records in Administration:

  1. In Administration, click Merge Constituents. 
  2. In the Merge From box, click the binoculars to search for the record to remove. 
  3. In the Merge To box, click the binoculars to search for the record to keep. 
  4. Select the information to merge. 
  5. Mark the Exclude soft credits when merging gifts checkbox, if soft credited gifts in one record should not be included on the other. 
  6. Mark Delete source constituent to delete the record when the process is complete. To verify that all information was merged correctly, do not mark this checkbox. The record can be deleted manually later. 
  7. Click Merge Now. 

To merge the records in Records:

  1. In Records, click Constituents. 
  2. Open the constituent record to merge. 
  3. Select Constituent, Merge from the menu bar. 
  4. Select:
    • Merge from [open constituent's name] into... to merge the open constituent into another constituent's record.
    • Merge a constituent into [open constituent's name] to merge another constituent into the open constituent's record. 
  5. Browse for the constituent record to merge with the open record and click Open. 
  6. Select the information to merge. 
  7. Mark the Exclude soft credits when merging gifts checkbox, if soft credited gifts in one record should not be included on the other. 
  8. Mark Delete source constituent to delete the record when the process is complete. To verify that all information was merged correctly, do not mark this checkbox. The record can be deleted manually later. 
  9. Click Merge Now. 

How constituent data is merged: 

The data is merged in one of three ways:

  • Moved: The data on the Merge From record is moved to the Merge To record (i.e., the data is copied, then deleted) because the system cannot store the same value twice. This is the case with gifts and appeals. 
  • Moved if it does not exist on the Merge To record: The data on the Merge From record is moved into the Merge To record only if it does not exist on the Merge To record (for example, a middle name). This happens because data on the Merge To record has precedence and is not overwritten. 
  • Copied if it does not exist on the Merge To record: The data on the Merge From record is copied into the Merge To record only if it does not exist on the Merge To record (for example, a middle name). This happens because data on the Merge To record has precedence and is not overwritten.
    Note: Data will be moved if Delete the source constituent record is marked. If this option is not marked, the information will be copied.
