1. Select Reports, Pledge Reports, Past Due Pledge Report.
  2. Click New.
  3. Enter the appropriate report parameters on these tabs:
    • General:
      • Include all records, a query of selected records, or one record. The available query types are Constituent, Gift, Individual, and Organization. Use query to filter records that cannot be filtered in the report parameters.
      • The Gifts Made After date is the date of the oldest pledge that should be included on the report.
      • The Past Due as of date is the date at which the pledges were considered past due
      • Select how to handle soft credit, matching gifts, and whether to include inactive, deceased, and constituents with no valid address.
      • Select whether to create an output query of the records included in the report: Gift or Constituent.
      • Select a report format: Detail, Summary, or Both. The detail version of the report lists the constituent name and address with the amount past due. The summary version of the report includes a total of the past due amount for each fund.
    • Filters: Filter the report by appeals, campaigns, constituent codes, or funds. By default, all values are included.
    • Gift Types: Select what gift types are included the report. You can include Pledge, MG Pledge, and Recurring Gift. All of these gifts are included by default.
    • Attributes: Include or exclude records based on constituent or gift attributes. If including a selected a query on the General tab, the Attributes tab only includes or excludes records in the source query.
    • Report Periods: The report can be run for up to five past due periods. The default report periods are:

    • Columns: Add or remove columns on the report. All columns included on the Columns tab are optional report columns. Edit values in the Min. Width column and adjust the Report Orientation between Portrait and Landscape as necessary. The Detail report type displays the following columns:
      • Constituent Name: This column displays the constituent’s name in the format selected on the Format tab. The maiden name appears in parentheses below the name. Address and phone numbers appear based on the Ind. Address tab and Org. Address tab parameters.
      • Date: The date of the original pledge.
      • Type: Type of gift made. The following is a list of the codes used in the report:
         
        • PL = Master Pledge
        • PL A2 = Pledge 2 Annual Installments
        • PL A3 = Pledge 3 Annual Installments
        • PL SA3 = Pledge 3 Semi-Annual Installments
        • PL Q4 = Pledge 4 Quarterly Installments
        • PL BM5 = Pledge 5 Bimonthly Installments
        • PL M6 = Pledge 6 Monthly Installments
        • PL SM7 = Pledge 7 Semi-Monthly Installments
        • PL BW8 = Pledge 8 Biweekly Installments
        • PL W9 = Pledge 9 Weekly Installments
        • PL I10 = Pledge 10 Irregular Installments
        • REC = Recurring Gift, format follows above; PL is replaced with REC
        • Matching Gift Pledge appears as above with an MG before the pledge type (for example, MG PL)

         
      • Gift Amount: Amount of original gift
      • Fund: This column displays the fund associated with the past due gift.
      • Days Past Due: Amount not paid “X” number of days after due date or pledge date in the case of a regular pledge. (In the UK, this column does not take into account the net or gross option set in User Options.) This is calculated based on past due installments so if there is nothing paid, then the net balance is used on each installment.
      • Total: Amount of original gift.

         
      The Summary report type displays the following columns:
      • Fund: This column displays the fund ID of the fund associated with the gift. This information is entered in the Fund ID field on the General tab of the fund record.
      • Fund Description: This column displays the fund description of the fund associated with the gift. This information is entered in the Description field on the General tab of the fund record.
      • Days Past Due: Amount not paid “X” number of days after due date or pledge date in the case of a regular pledge. (In the UK, this column does not take into account the net or gross option set in User Options.) This is calculated based on past due installments so if there is nothing paid, then the net balance is used on each installment.
      • Total: Totals for report periods.

         
    • Ind. Address & Org. Address: (Detail report type) Select how to handle constituent addresses. For more information, refer to How does address processing work.
    • Format: Under Name Formats, highlight Individual and select the appropriate Addressee/Salutation to Use option.
       
      • From individual: Select this option to use an addressee/salutation type present on the constituent's Addressees/Salutations tab (e.g., Primary Addressee or Primary Salutation). This prints the addressee/salutation exactly as it is listed on the constituent's record, including addressee/salutations marked as editable.

         
      • From Configuration: Select this option to base the name format on a formula from Configuration's Addressees/Salutations screen, regardless of what's entered on the constituent's Addressees/Salutations tab.

         
      • Use individual name: Select this option to pull the constituent's first name, middle initial, and last name (e.g., Robert C. Hernandez).

        Note: In Reports, the default setting is Use individual name.
  4. Click the Preview or Print button to process the report.
