Note : Before you proceed with the following instructions, back up the database. If your organization integrates multiple Blackbaud products, refer to the Additional Requirements section of the backup article.
Note: This only applies to The Raiser's Edge version 7.93 and below.
Note: This article uses an example of moving a phone number from the home address to the primary business address. Substitute the appropriate address types for your situation.

Export the import IDs and phone numbers:
  1. Create a constituent query of the records that need to have the phone number moved  
  2. Create a constituent export using the query created in step 1. Select to export in Comma-Separated Values format 
  3. On the Output tab, select the following fields in order:
    • Constituent Information > Import ID
    • Address > Address Processing > Import ID
      • When the Address Processing screen appears. On the Ind. Address tab:
        1. In Step 1, unmark the Consider addresses with seasonal dates as of checkbox
        2. In Step 2, select Primary Business. Do not select any other addresses.
        3. Leave Step 3 set to the defaults
        4. In Step 4, select Export Specific Address and Primary Business
        5. Leave the Org. Address tab set to the defaults
        6. Click OK
    • Address > All Addresses > Phones > Phone Number
      • When the All Addresses screen appears:
        1. In the For each Constituent, enter the number of Addresses to expot, enter 1
        2. Choose Selected Addresses and select Home
        3. Click OK
        4. In the For each Address, enter the number of Phones to export field, enter the appropriate number of phones to move. For example, if you need to move two phone numbers from the home address to the primary business, enter 2.
        5. Leave All Phones selected
        6. Click OK
    • Address > All Addresses > Phones > Phone Type
  4. Save the Export and click Export Now
  5. Save the file to your desktop
Edit the export file in Excel and add the headers:

Open Excel and open the file created above. The number of columns that you have depends on the number of phone numbers that you exported. You will have two columns for each phone number. For example, if you exported two phone numbers, you will have four phone fields. These are the phone number and phone type for each phone. For each phone number (other than the first), you will need to copy the address import ID to tell The Raiser's Edge on which address to place the phone number.

Note: The first column is the constituent's import ID. The second column is the address import ID. The second column is what you will be copying.

To do this:

  1. Highlight column E and select Insert > Column from the menu bar. This inserts a blank column.
  2. Copy column B to column E
  3. If you exported two phone numbers, skip to step 5. If you exported three or more, continue with step 4.
  4. Highlight the column that contains the phone number for the third phone (column H). Select Insert, Column from the menu bar. Copy column B to column H. Repeat for each phone number.
  5. In the first row, replace the current headers with the correct import header. For example, if you exported two phone numbers, add the following headers in this order:

    Note: If you exported three or more phone numbers, just repeat the headers for the address import ID, phone number, and phone type for each of the remaining phones. 

     
    • ImportID
    • PhoneAddrImpID
    • PhoneNum
    • PhoneType
    • PhoneAddrImpID
    • PhoneNum
    • PhoneType
  6. Save the file in Comma-Separated Values (CSV) format.
​​Import the file into The Raiser's Edge:
  1. Click Admin, Import
  2. Select Constituent, Constituent and click New
  3. On the General tab, select Update existing records and browse to and select the file created in step 2
  4. Select the Fields tab. The fields should already be mapped. However, the extensions in the Ext column may be wrong. For each set of fields for the phone numbers (e.g. address import ID, phone number, and phone type), you should have a different extension. For the first set, you should have extension 00. The second set extension 01, and so on. If this is not correct, change them as appropriate.
  5. Leave all other tabs set to the defaults and click Update Now
