1. On the Administration page, click Post to General Ledger
     
  2. Select Summary(Cash/AR Only) from the Post the transactions in drop-down list

  3. Complete the remaining post information appropriately
     
  4. Click Post Now

If posting directly to the General Ledger, the batch posts to an open Journal Entry batch in General Ledger. The batch must be posted in General Ledger before the account activity reflects the transactions. A Raiser's Edge post file is also automatically created.

If not posting directly to the General Ledger, a Raiser's Edge post file is created which can be imported into the General Ledger Journal Entry module as an open batch. The batch must be posted in General Ledger before the account activity reflects the transactions.

The transactions that post are as follows:

  • Debits (DR): A summarized total DR posts to each General Ledger Cash and AR account.
     
  • Credits (CR): A credit posts for each gift to the account listed on the Raiser's Edge Fund record.

Example:

Let's say we created a gift batch with the following gifts:

  • Five $100.00 gifts of Cash to the 2003 Annual Fund
     
  • Five $100.00 gifts of Cash to the 2003 Membership Fund
     
  • Five $100.00 Pledges to the 2003 Annual Fund

If each fund's GL Distributions tab has a unique General Ledger cash account defined for cash gifts, and a unique AR (Accounts Receivable) account defined for pledges, then posting in Summary (Cash/AR Only) posts the following to the General Ledger:

  • Debits (DR): A single, summary total amount of $500.00 to Cash (defined on the 2003 Annual Fund's GL Distributions tab)
     
  • Debits (DR): A single, summary total amount of $500.00 to Cash (defined on the 2003 Membership Fund's GL Distributions tab)
     
  • Debits (DR): A single, summary total amount of $500.00 to AR (defined on the 2003 Annual Fund's GL Distributions tab)
     
  • Credits (CR): Each gift to the credit account defined on each Fund's GL Distributions tab for the gift type (normally a revenue account). 

Note: If all Raiser's Edge funds use the same cash account, a single debit transaction posts to the cash account for all gifts to these funds, along with the individual credits to each revenue account.

In a specific scenario, The Raiser's Edge deposit may not be a single deposit in The Financial Edge. This will happen if:

  1. The Raiser's Edge funds post to cash accounts in different General Ledger funds
     
  2. The Financial Edge bank account is set to "Track Cash In Multiple Funds", or has multiple General Ledger cash accounts for one bank account
In this scenario, The Raiser's Edge still posts a summary amount for each cash or accounts receivable account defined on The Raiser's Edge fund records. To correct this, once the batch is posted to General Ledger, open the batch in Journal Entry, combine the summary transactions into one row, then post the batch from Journal Entry.
