Create a new Constituent query filtering on Specific Record ID.

Note : Before you proceed with the following instructions, back up the database. If your organization integrates multiple Blackbaud products, refer to the Additional Requirements section of the backup article.

For constituents:

If the spreadsheet contains either the import ID, constituent ID, or Social Security number of each constituent: 

  1. In the data file, remove all other information from the spreadsheet, leaving just one of the following columns: Import ID, Constituent ID, or Social Security Number 
  2. Add a header row if the data file does not already have one 
  3. Enter the appropriate header for the column containing the unique identifier:
    • Import ID: ImportID 
    • Constituent ID: ConsID 
    • Social Security Number: SSNum 
  4. Save the data file in CSV (Comma Separated Values) format and close it 
  5. In Administration, click Import 
  6. In the Constituent category, highlight Constituent and click New 
  7. On the General tab, select:
    • What do you want to do? Update existing records 
    • What file do you wish to import? Browse to the CSV file 
    • How do you want the system to identify existing constituents? Select the unique identifier contained in your data file. For example, if the records in your data file have constituent IDs, select Use the Constituent ID. 
  8. On the Summary tab, mark the Create a query of updated records checkbox 
  9. Click the Update Now button to import the file and create the query.

For gifts:

If the spreadsheet contains either the gift import ID and one of the following: the import ID, constituent ID, or Social Security number of each constituent: 

  1. In the data file, remove all other information from the spreadsheet, leaving just two columns, one for the gift import ID and another for the constituent import ID, constituent ID, or Social Security Number 
  2. Add a header row if the data file does not already have one 
  3. Enter the appropriate header for the column containing the unique identifiers:
    • Gift Import ID: GFImpID 
    • Constituent Import ID: ImportID 
    • Constituent ID: ConsID 
    • Social Security Number: SSNum 
  4. Save the data file in CSV (Comma Separated Values) format and close it 
  5. In Administration, click Import 
  6. In the Gift category, highlight Gift and click New 
  7. On the General tab, select:
     
    • What do you want to do? Update existing records 
    • What file do you wish to import? Browse to the CSV file 
    • How do you want the system to identify existing constituents? Select the unique identifier contained in your data file. For example, if the records in your data file have constituent IDs, select Use the Constituent ID.  
  8. On the Summary tab, mark the Create a query of updated records checkbox .
  9. Click the Update Now button to import the file and create the query.
