Cumulative GPA calculation calculates incorrectly or does not include some courses

Courses may be missing from a Cumulative GPA calculation even when the courses are correctly included for the GPA  marking column in the current year.

Possible causes:

  • The grade levels in the Grade Level table are out of order. If the table entry sequence for a lower grade is greater than the sequence for a higher grade, the lower grade courses will print for the higher grade's calculation.
  • The sessions within the Session table are out of order.
  • The marking columns within the Marking Column table are out of order.
  • Sessions are marked as inactive.
  • Students do not have a Student Progression entry for the year of the classes that are missing.
  • The Use in Calculations checkbox is unmarked for the marking column on the student's Details screen in Grades.
  • The Business Rule in Grades for When calculating GPA's including courses taken multiple times, use... was not marked.
  • One or more of the student's grade levels are not included as a Grade Level to calculate on the Cumulative tab of the GPA calculation.
  • One or more of the student's sessions are not included within the Grade Levels to calculate on the Cumulative tab of the GPA calculation.
Download and install the latest patch, which contains all fixes from previous patches. If you are running an older version, download and install the latest version and then the patch.

Try each of the following steps in order until the issue is resolved:
 
  1. Correct the order of the Grade Level table:
    1. Open Configuration,  click Tables
    2. Select the Grade Levels table
    3. Use the up and down arrows to put Grade Levels in the correct order
    4. Re-run the cumulative GPA calculation 
  2. Correct the order of the Session table and ensure that each Session is marked as Active:
    1. Open Configuration,  click Tables
    2. Select the Session table
    3. Use the up and down arrows to put the Sessions in the same order as they appear on the Academic year
    4. If session is marked as Inactive, open each session and unmark Inactive.
    5. Re-run the cumulative GPA calculation 
  3. Correct the order of the Marking Column table:
    1. Open Configuration,  click Tables
    2. Select the Marking Column table
    3. Use the up and down arrows to put Marking Columns in the correct order
    4. Re-run the cumulative GPA calculation
  4. Ensure the students have a student progression entry for the year of the classes that are missing.
    For example, if all 10th grade grades are missing, check to ensure they have a student progression entry for that year and that it is correct. 
  5. Ensure the appropriate grades and marking columns are included in GPA calculations
  6. Ensure that the business rule for courses taken multiple times is set properly:
    1. Open Configuration and click Business Rules
    2. Select Grades
    3. For When calculating GPA's including courses taken multiple times, use, select the appropriate option from the drop-down menu
  7. Verify the Cumulative tab of the GPA calculation
  8. Ensure that the Translation Tables (Configuration, then Registrar Setup) have proper cutoff values, including a 0 for the last grade used.
