How to delete an attribute category based upon description

A user may want to globally delete attributes with a specific category that have a blank or unwanted description from multiple constituent records.

However, if you select to globally delete attributes and leave the Description field blank, you will globally delete all attributes with the specified category for the included constituent records.  This would include attributes with a value in the Description field as well as those that are blank.

Note : Before you proceed with the following instructions, back up the database. If your organization integrates multiple Blackbaud products, refer to the Additional Requirements section of the backup article.
 

  1. Create a constituent query to find all records that have the attribute with a blank description
    • Criteria: Attributes>Specific Attributes>[Attribute Name]>[Attribute Name] Description - select Operator=blank.
  2. From Administration, choose to create a Constituent Attribute import file using the query created in Step 1. Be sure to select the Constituent Import ID and Attribute Description fields on the Fields tab 
  3. Click Create Now to create the import file.
  4. Locate the file on your workstation and rename the file to add .csv to the end 
  5. Open the created file in Excel.
  6. In the spreadsheet, delete all entries that have an Attribute Description value.
  7. For the lines with a blank description, in the Description column, enter TO BE DELETED.
  8. Save and close the file. (Note: Be sure the file is in CSV format.)
  9. In Administration, open the import parameter file created in Step 3.
  10. Change the operation to Update existing records; mark the option to create new table entries. 
  11. Select the saved file from the workstation.
  12. Update Now.
  13. Globally delete the attribute from the records that have a description of TO BE DELETED (Note: Although the task is globally deleting the attribute, the instructions in this step refer to using Globally Change Records in Admin, NOT Globally Delete Records.)

OR if you want to delete an Attribute off of Constituent records that contains an unwanted Description, Short Desc., Date or Comments
  1. Create a constituent query to find all records that have the attribute with an unwanted Description, Short Desc., Date or Comments
    • Criteria: Attributes, Specific Attributes, [Attribute Name], Select the appropriate [Attribute Name] Comments, Date, Description, or Import ID
  1. From Administration, choose to create a constituent global change using the query created in Step 1. 
  2. Locate the line for Constituent Attributes > Select: Attributes
  3. Change the Operation. Select: Delete
  4. Select a Value
  5. Select a Description, Short Desc., Date or Comments
  6. Click 'OK' followed by 'Change Now"
  7. This will Delete only the Attribute line with the unwanted Description, Short Desc., Date or Comments
