Once you add a room record to the program, you can select it when scheduling rooms for classes and other meetings, including parent-teacher meetings, and college recruiting visits.

Rooms are accessed from the Records page.

To add a new room:

  1. Navigate to Records>Rooms, click Add a New Room.
     
  2. Enter the Room ID and Description.
     
  3. Select the room type.
     
  4. Enter the phone number.
     
  5. On the General tab, to set a maximum capacity for the room, mark the Maximum room capacity checkbox and enter a number of students. If you schedule more than one class in the room at the same time, the maximum capacity is the total for all classes.
     
  6. To set a target capacity for the room, mark the Target room capacity checkbox and enter a number of students. If you schedule more than one class in the room at the same time, the target capacity is the total for all classes.
     
  7. To allow Generate Master Schedule to schedule multiple classes in the room at the same time, mark the Allow [ ] classes to be held in this room concurrently checkbox and enter the number.
     
  8. To schedule only the homeroom teacher in the room, mark the Schedule only schedule homeroom teachers in this room checkbox.
     
  9. To select the schools that can schedule meetings in the room, mark the checkboxes in the Classes can be scheduled in this room for these schools box.
     
  10. Select the Restrictions tab and enter any scheduling restrictions for the room for the appropriate school and academic year. For example, if the room is unavailable during 3rd period, select this room is not available for scheduling during these days and times. Select each day and unavailable period.
     
  11. Select the Attributes tab to add room attributes.

    Notes:
     
    • You must define attribute types in Configuration before you can add them to a room record.
       
    • If an attribute type is required on a room record, the program automatically marks the checkbox in the Required column. You cannot mark or unmark this checkbox on the Attributes tab.
