When setting up attendance codes on the Attendance Codes page in Configuration, you can switch between the class and day view and the day only view.

Adding an attendance code in the class or day attendance view

In the class and day attendance view, you set up absence and tardy codes to use for taking attendance by either class or full day.
  1. In Configuration, click Attendance Codes.
  2. In the Show field, select Class or day attendance settings.
  3. In the Absence Codes grid, define codes to use for absences.

    1. In the Code column, enter an attendance code, such as ABS-X or ABS-U.
    2. In the Description column, enter a description of the attendance code, such as Excused absence or Unexcused absence.
    3. To count instances of the code in attendance calculations, such as absence totals, mark the checkbox in the Use in Attendance Calculations column.
    4. To permit the code to represent an entire day, mark Allow Daily Entry. Leave the checkbox unmarked to define the code for class attendance only.
    5. To permit Faculty Access for the Web users to enter the code, mark the checkbox in the Allow Entry by Faculty column.

     
  4. In the Tardy Codes grid, define codes to use for tardies

    Tardy Codes grid

    1. In the Code column, enter the attendance code, such as LTMAX or TRANS.
    2. In the Description column, enter a description of the attendance code, such as Late more than 15 minutes or Unavoidable traffic problems.
    3. To count instances of the code in attendance calculations, such as tardy totals, mark the checkbox in the Use in Attendance Calculations column.
    4. If you count tardy codes in calculations, in the # of Tardies = 1 Absence column, enter the number of tardies to equal one absence.
    5. To permit the code to represent an entire day, mark the checkbox in the Allow Daily Entry column. Leave the checkbox unmarked to define the code for class attendance only. Note: If the academic year is set up to track Class or Day attendance, entering a tardy code for day attendance will add a tardy code for each class in the day. To prevent this, do not mark the Allow Daily Entry option for tardy codes.
    6. To permit Faculty Access for the Web users to enter the code, mark the checkbox in the Allow Entry by Faculty column 
       
  5. When you leave the Attendance Codes page, the program saves your changes automatically
 

Adding an attendance code in the day only attendance view

In the day only attendance view, you can set up absence and tardy codes to use for taking attendance by either half day or full day.

  1. From the Configuration page, click Attendance Codes.
  2. In the Show field, select Day only attendance settings.
  3. In the Absence Codes grid, define codes to use for absences.
  4. In the Code column, enter the attendance code, such as ABS-X.
  5. In the Description column, enter a description of the attendance code, such as Excused Absence.
  6. To count instances of the code in attendance calculations, such as absence totals, mark the checkbox in the Use in Attendance Calculations column
  7. In the Weight column, you can select to count the absence as a full day or a half day.
  8. To allow Faculty Access for the Web users to enter the code, mark the checkbox in the Allow Entry by Faculty column.
  9. In the Tardy Codes grid, define codes to use for tardies
    1. In the Code column, enter the attendance code.
    2. In the Description column, enter a description of the attendance code
    3. To count instances of the code in attendance calculations, such as tardy totals, mark Use in Attendance Calculations.
    4. If you are counting tardy codes in calculations, in the # of Tardies = 1 Absence column, you can enter the number of tardies that counts as one absence
    5. To allow Faculty Access for the Web users to enter the code, mark the Allow Entry by Faculty checkbox
  10. When you leave the Attendance Codes page, the program saves your changes automatically
