Note: The Adjustments option is not available unless the budget scenario is finalized.

To adjust Account Budgets:
  • To adjust an account budget by a new total budget amount:
    1. In Records, click Budgets and open a finalized budget .
    2. Select New Budget Amount from the Enter drop-down menu on the action bar.
    3. In the Total column of the account to be adjusted, enter the new amount.
    4. On the action bar, click Adjust Account Total.
    5. Click the Save and Close.
  • To adjust an account budget by a new period adjustment amount:
    1. In Records, click Budgets and open a finalized budget.
    2. Select Adjustment Amount from the Enter drop-down menu on the action bar.
    3. In the grid, select the cell of the period in the account to be adjusted and enter the new amount.
    4. Click save.
    5. A message appears so you can record a reason for the adjustment.
    6. Click OK.
  • To adjust the budget from an account record:
    1. In Records, click Accounts.
    2. Open the account record and select the Budget tab.
    3. Click Adjustments.
    4. Click New Account Budget Adjustment.
To adjust Project Budgets:
  • To adjust a project budget by adjusting the account total:
    1. In Records, click Budgets and open a finalized budget.
    2. Select View, Project view from the menu bar.
    3. Click Project. The Open screen appears so you can locate and open the project to be adjusted.
    4. In the Account Number column, enter an account.
    5. Select New Budget Amount from the Enter drop-down menu on the action bar.
    6. In the Total column of the project budget to be adjusted, enter the new amount.
    7. Click Adjust Account Total. A message appears so you can record a reason for the adjustment.
    8. Click OK. The program makes the adjustment, and you return to the Budgets page.
  • To adjust a project budget by editing the project distribution:
    1. In Records, click Budgets and open a finalized budget.
    2. Select New Budget Amount from the Enter drop-down menu on the action bar.
    3. In the Total column of the account budget to be adjusted, enter the new amount.
      Note: To adjust the account budget with the project budgets are associated, select Adjustment Amount form the Enter drop-down menu and enter the amount to be adjusted.
    4. On the action bar, click Edit Period Project Distribution.
      Note: If Edit Period Project Distribution is grayed out, make sure you are in Budget View and that a Total has been changed on the budget.
    5. Select Amount or Percent from the Edit drop-down menu.
    6. In the Project column, enter project IDs or click the binoculars to search for a project.
      • To distribute the budget among all associated projects using the previous budget amount for the period, click Adjust Period Total.
      • To distribute the undistributed budget amount among projects using a distribution table, click Load Project Distribution.
      • To distribute the undistributed budget amount equally among the associated projects, click Distribute Evenly.
    7. To adjust the project budgets and return to Budgets page, click OK.
    8. Click Adjust Account Total on the action bar. The program updates the account total figure.
      Note: If you do not click Adjust Account Total before saving the budget adjustment, you get a message telling you to update the account budget total.
    9. Save and close the budget and click OK.
