The 'Use adjustment GL post date for the reversal GL post date' checkbox sets which date is used for the reversing entry to the general ledger. If checked, the Adj. GL Post Date on the adjustment will be used for the reversal. If unchecked, the original GL Post Date found on the gift's Miscellaneous tab will be used.

What occurs when a gift adjustment is added to The Raiser's Edge?
When a gift adjustment is entered, this creates a series of entries to update the general ledger. The entries perform two tasks:
  1. Reverse (or undo or "subtract") the previous entry.
  2. Add the corrections/updates of the adjustment.
Every entry, including the types of #1 and #2 above, to the general ledger has its own date. The date used when the gift is first posted to the general ledger is displayed in The Raiser's Edge as the GL Post Date. It can be the same as the gift date or it can be different. The gift date and GL post date are independent fields on the gift record.

The 'Use adjustment GL post date for the reversal GL post date' checkbox pertains only to the date used on entries of the #1 type above. The reversing entries are generated in the background when adding a gift adjustment, so to specify which date is used:
  • If 'Use adjustment GL post date for the reversal GL post date' checkbox is checked, then the general ledger post date for the reversal will be the same as the general ledger post date for the adjustment.

  • If this checkbox is not checked, the general ledger post date for the reversal will be the general ledger post date on the Miscellaneous tab on the original gift record.
For example, let's enter an adjustment on a gift with the following dates:

Gift date: 2/2/2015
GL Post date: 2/6/2015 (with GL Post Status of Posted)
Adjustment date: 2/10/2015
Adjustment (Adj.) GL Post date: 2/15/2015

If 'Use adjustment GL post date for the reversal GL post date' is checked, then 2/15/2015 will be the date for the reversal entry only (#1 from earlier).

If 'Use adjustment GL post date for the reversal GL post date' is not checked, then the reversal entry date (#1 from earlier) will the original GL Post date found on the gift's Miscellaneous tab. In this example, the date will be 2/6/2015.

What is the GL Post date?
This date field records when a gift is applied to the specified account or project in the General Ledger. Regardless of the date of the actual posting to the General Ledger process is completed, the gift will show in the account or project's activity in the General Ledger on the date specified in the GL Post date field in the Raiser's Edge gift record.

A GL Post date defaults to the same as the gift date when a gift is added to The Raiser's Edge. Likewise, the Adjustment GL Post date will default to the same date as the adjustment date. However, a GL post date can be edited to a different date if needed. Posting to the General Ledger does not update the GL Post Date field in The Raiser's Edge.
