Try each of the following steps in order until the issue is resolved:

  1. Ensure the grade levels are not marked as inactive:
    1. Open Configuration and click Tables
       
    2. Open the Grade Level table
       
    3. Unmark the Inactive checkbox for the appropriate grade levels



     
  2. Ensure the base grade as of date on the billing schedule falls in the current academic year


     
  3. If your database has Registrar's Office 7 and Student Billing 7, the billing item will have a Based on grade as of field because the promotion schedule has a specific academic year. To eliminate the error message:
    1. Open the Student record and select the Activity tab
       
    2. Select Scheduled Activity from the View drop down menu
       
    3. Highlight the Billing Item and click Open
       
    4. Change the date in the Based on grade as of field to a date where the student will be enrolled in a grade for which the fee is valid. (For example, if the fee is valid for only grades 3 and 4, change the date to a period when the student would be enrolled in one of those grades).
       
    5. Ensure the student has a student progression entry for the current academic year
       




     
  4. If your database has Student Billing 7 only, the billing item will have a Based on next grade checkbox since the fee can be charged for the current or next grade.

    1. Open the Student record and select the Activity tab
       
    2. Select Scheduled Activity from the View drop down menu
       
    3. Highlight the Billing Item and click Open
       
    4. Mark or unmark the Based on next grade checkbox so the student will be enrolled in a grade for which the fee is valid. (For example, if the fee is valid for only grades 3 and 4, and the student is currently in grade 4, the checkbox must be unmarked to be valid).
