Note: Before you proceed with the following instructions, back up the database. If your organization integrates multiple Blackbaud products, refer to the Additional Requirements section of the backup solution.

 
  1. Identify rooms with scheduling restrictions set for the academic year/session by creating a room query in Query
    1. Expand the Restrictions category
    2. Filter by the appropriate school, academic year, and session
    3. Select the Availability field
    4. Select the operator equals
    5. In the Value field, select Not available for scheduling during these days and times
    6. Include the room ID in the Output

      Note: To list each room's scheduling restrictions so you can re-define them at a later time, include the following fields in the Output:

      • Availability
      • Restrict availability by
      • Cycle day
      • Unavailable period
      • Unavailable from time
      • Unavailable to time
      • All cycle days used?

       




     

     

  2. Open the query of rooms in Records, Rooms
    1. In Records, Rooms, select Tools, Options from the menu bar
    2. In the Display this tab when a record is opened field, select Restrictions
    3. Click OK
    4. On the Records - Rooms page, click Open a Room
    5. On the Open screen, in the Search using query field, select the room query created above
    6. Click Find Now
    7. Double-click the first room record that appears in the grid to open it




     

     

  3. Delete the appropriate academic year/session record from each room record
    1. On the Restrictions tab of the room, select the appropriate school, academic year, and session filters
    2. In the This room is field, select Always available for scheduling
    3. Select File, Save from the menu bar
    4. Click the right arrow on the action bar to access the next room record in the query
    5. Repeat the steps to remove the academic year/session scheduling restrictions and save the room record
    6. Repeat for each record in the query
