For example, for a student whose parents are divorced where responsibility for all charges have been assigned to the student's mother, but the student's father and grandfather also make occasional payments. To send a copy of the statement only to the student's father:
 

  1. Open the Student record and select the Statements tab
  2. Click the first empty row in the grid in Send Statements to column and select the recipient from the drop-down list or click the binoculars to search for a recipient.
  3. To send the recipient a separate statement, mark Print Separate Statement. If this box is not marked, the students balance due is added to the recipients next billing statement.

  4. If a contract exists between the student and the recipient (such as a financial aid or scholarship), enter a contract number in the Contract ID column.
  5. You can select whether to show all charges, only the charges for the student, only charges for the recipient, or charges for both the student and the recipient in the Show column
  6. In the Notes field located at the bottom of the page, enter any applicable notes.
  7. Repeat the above steps to add any additional statement recipients.
  8. Save and close the record.
     

To send statement copies:
 

  1. Open the Student record and select the Statements tab.
  2. Select Who receives copies of statements for in the Show drop-down list.
  3. Click the first empty row in the grid in the When Sending Statements to column and select the recipient from the drop-down list or click the binoculars to search for a recipient.
  4. Click the empty cell in the Send a Copy to column and select the recipient from the drop-down list or click the binoculars to search for a recipient.

  • Mark the Show amount due checkbox if appropriate.
  • To add comments that will print on the statement (for example, Statement Copy), enter it in the field on statement copies sent to.
  • Save and close the record.
NOTE: You may receive the following error if you attempt to delete a Record from the Statements tab: You cannot delete [Record Name] as a recipient of statements because they still have unpaid charges for which they are responsible for paying.
