You may want to include only certain gift records in a report or mailing rather than all gifts.
If using a constituent query to filter on specific gifts, add filters within the mailing or report on gift date, fund, appeal, etc. Otherwise the mailing or report will include gifts from the entire constituent record rather than defaulting to the filters of the query.
Use a gift query with the appropriate filters and include that query in the mailing or in the report.
For example: Jim has two outstanding pledges on his record. One is to the Annual Fund and one is to the Library Fund. You want to send pledge reminders to all of your donors who have outstanding pledges to the Annual Fund, so you first create a constituent query of anyone with an outstanding pledge that was made toward the Annual Fund. However, when you use the same query in Mail, the query pulls the entire constituent record rather than those specific pledges so reminders would be created for both of Jim's pledges. To include only specific gifts in the mailing, you need to either use a gift query filtering on outstanding pledges to the Annual Fund or add filters within the mailing on the specific appeal.
