Error: Academic year [Year] cannot be deleted because one or more records are associated with it

You may receive the following error when deleting an academic year, if it is present in one or more records, error: Academic year [Year] cannot be deleted because one or more records are associated with it.
Note : Before you proceed with the following instructions, back up the database. If your organization integrates multiple Blackbaud products, refer to the Additional Requirements section of the backup article.

Please try the following steps until the issue is resolved:

1. Delete the sessions defined on the academic year.  Deleting the defined sessions omits the year from the Academic year field on the Attendance, Grades, Schedule, and Courses tabs of student records and the Restrictions 2 and Schedule tabs of Faculty/Staff records:
  1. Open Configuration, Academic Years.
  2. Select the appropriate school and highlight the academic year and click Open.
  3. Highlight the first Session and click Delete.
  4. Repeat for any other sessions listed on the academic year
  5. Click Save and Close.
    Note: If the Delete button is grayed out for a selected session, delete the scheduling information defined for that session.

2. Ensure the academic year is not listed as a Year Apply on Applicant records.
  1. Create an Applicant Query
  2. On the Criteria tab, expand Applicant, Bio 1, and select Year Apply
  3. Operator: Equals
  4. Year Apply: the year to be deleted
  5. On the Output tab, expand Applicant, Bio 1, and select Full name
  6. Click run, and check the records listed in the results and remove this year from all Applicant Records
  7. Save and close the record

3. Ensure there are no tracks for the specific academic year on Applicant records.
  1. Create an Applicant Query
  2. On the Criteria tab, expand Checklist, and select Year Apply
  3. Operator: Equals
  4. Year Apply: the year to be deleted
  5. On the Output tab, expand Applicant, Bio 1, and select Full name
  6. Click run, and check the records listed in the results.
  7. On the record's Checklist tab, select the academic year to be deleted
  8. Click View Track Details and remove the track. Click Close
  9. Save and close the record

Note: If you are deleting the academic year to copy course restrictions, you can copy course information from one academic year to another as long as the timetable is the same.
