The unknown constituency code appears in a report when a constituent / gift does not have a constituency code that meets the report's filters -- even if a constituent / gift does have a constituency code specified.

When considering constituency codes, the report will consider the codes in the order of what is on the Bio2/Org2 tab (unless Table is chosen on the constituency code filter in the report). If a date from or date to is present on the constituency code and the report is considering gift dates, unknown can appear if the gift's date is before the constituency code's date from or after the constituency code's date to.

When considering gift constituency codes, the report will consider the code on the gift's Miscellaneous tab. Unknown can appear if this field is blank or the specified gift constituency code does not match the report's filters.

(Note: If all constituents or gifts should have a constituency code, marking the Constituency code field as Required can help ensure consistent data entry.)


If Use constituent code from Constituent is selected on the Filters tab of the report, use Query to identify unknown constituents or gifts as follows: 

1.  Make sure each constituent included in the report has a constituency code on the Bio 2 tab. To find these constituents with no constituency code:
Constituency > Constituency Code blank
AND Gifts > Gift Date between [the date range used on the report]
  • On the Output tab, select:
Constituent information > Name
  • Review identified records on the Results tab.

2.  Make sure the constituency code is valid during the report date range. If not, the gifts appear as unknown. To find these constituents:
Constituency > Constituency Code one of [the constituencies selected on the report]
AND Gifts > Gift Date between [the date range used for the report]
AND (Constituency > Constituency Date To less than or equal to [the report's Start Date]
OR Constituency > Constituency Date From greater than or equal to [the report's End Date])
  • On the Output tab, select:
Constituent information > Name
  • Review identified records on the Results tab.

3.  Make sure there is a valid constituent code on the gift date. If the gift comes during the report's date range but falls before the constituent code's Date from or after the constituent code's Date to, the gift appears as an unknown. To find these constituents:
Constituency > Constituency Code one of [the constituencies selected on the report]
AND Gifts > Gift Date between [the date range used for the report]
AND (Constituency > Constituency Date To between [the report's date range]
OR Constituency > Constituency Date From between [the report's date range])
  • On the Output tab, select:
Constituent information > Name
  • Review identified records on the Results tab.

4. If running a Demographic and Statistical Report (Comparisons and Summaries, Statistical Reports, and Tallies), make sure the constituency code on the Bio 2 / Org 2 tab matches the constituency code(s) selected on the report's Fields tab.
 

If Use constituent code from Gift is selected on the Filters tab:

1, Ensure Use constituent code from Gift is actually selected on the Filters tab:
  • On the Filters tab of the report, place the cursor in the Constituent Codes row and choose Include Selected.
  • In the drop-down next to Use constituent code from, select Gift.
  • Select the appropriate constituencies to include.
  • Click OK.

2. Make sure each constituent included in the report has a constituency code on their gifts. To find these constituents:
Gift > Constituent Code is blank
AND Gifts > Gift Date between [the date range used for the report]
  • On the Output tab, select:
Constituent information > Name
  • Review identified records on the Results tab.

3. If running a Demographic and Statistical Report (Comparisons and Summaries, Statistical Reports, and Tallies), make sure the constituency code on the Bio 2 / Org 2 tab matches the constituency code(s) selected on the report's Fields tab.
