Note : Before you proceed with the following instructions, back up the database. If your organization integrates multiple Blackbaud products, refer to the Additional Requirements section of the backup article.

  1. Create a participant export and export the appropriate information for your participants. The following fields are required. Be sure to export them in the following order.
    • Import ID (this is the participant import ID)
    • Last Name
    • First Name
    • Org Name
    • Key Indicator
    • Any additional field(s) to be added to the constituent record
  2. Open the file created in step 1. Insert a blank row as row 1 to add header information. Insert a new column in the first column (column A) and assign a constituent import ID to each row. First determine the import IDs that will be used for the records. A suggestion would be to use your initials, the date and a sequence number. Example: JB070504-001, JB070504-002 Then, automatically fill in ascending import IDs:
    1. Enter the Import ID for the first two records in the import file.
    2. Highlight the two cells that contain the Import ID.
    3. Place your cursor on the bottom right corner of the highlighted range until you see a + sign.
    4. Click and drag your cursor down the remaining records to automatically generate and assign the rest of the Import IDs.
  3. Add the following headers in order to row 1:
    • ImportID
    • REGImpID
    • LastName
    • FirstName
    • OrgName
    • KeyInd
    • Add the appropriate headers for all other fields that were exported above.
  4. Select File, Save As... from the menu bar. Give the file a new name and save it. For illustration, the instructions will refer to the original file as File1 and this file as File2.
  5. Close File1 and keep File2 open. In File2, delete the column for REGImpID. Select File, Save from the menu bar. Save the file in CSV format.
  6. Import File2 as a constituent import.
  7. Open File1. Delete the LastName, FirstName, and OrgName columns as well as any additional columns that you exported.
  8. Change the KeyInd header to REGKeyInd. This leaves you with the following three columns in the file:
    • ImportID
    • REGImpID
    • REGKeyInd
  9. Select File, Save As... from the menu bar and save this file with a new name. For illustration, the instructions will refer to it as File3.
  10. Import File3 as a participant import. On the General tab, select Update existing records. This links the constituent records created in step 6 with the existing participant records.
