Note : Before you proceed with the following instructions, back up the database. If your organization integrates multiple Blackbaud products, refer to the Additional Requirements section of the backup article.

 

To globally change participants from within the event:

 

     
    • Create a participant query of the records to be changed
       
    • In Records, click Events
       
    • Open the appropriate event
       
    • Select Tools, Update Participants
       
    • On the Update Participants - Setup screen:
      1. Select the participant query created in step 1
         
      2. Highlight the field to change in the left frame and click the single, right arrow
         
      3. Click Edit Participants Now
         
       

       

      For example, to globally mark or unmark participants as Attended:

       

      • Make the necessary changes
         
      • Click Apply
         
      • Click OK
         
         
        • Create a participant query of the records to be changed
           
        • In Records, click Events
           
        • Open the appropriate event
           
        • Select Tools, Update Participants
           
        • On the Update Participants - Setup screen:
          1. Select the participant query created in step 1
             
          2. Highlight Attended in the left frame and click the single, right arrow
             
          3. Click Edit Participants Now
             
           

           

          To globally change participants from Administration:

           

          • Mark the checkbox in the Attended column next to the name of each participant who attended or unmark the checkbox for participants who did not attend. To select all records listed, right click the Attended column and choose Check All.
             
          • Click Apply
             
          • Click OK
             
             

             

            For example, to globally mark or unmark participants as Attended:

             

            • Create a participant query of the records to be changed
               
            • In Administration, click Globally Change Records
               
            • In the left frame, select Event, Participant and click New Change
               
            • In the left frame, select the field to be changed
               
            • In the Edit Change Parameters screen, select the appropriate operation and enter the appropriate values
               
            • Click OK
               
            • Click Change Now
               
               

               

              To globally change participants using Export and Import:

               

              This is best used when you there isn't a way to group the participants using a query. If you are able to create a query to pull the correct participants, we recommend using global change because it is quicker and easier.

               

              • Create a participant query of the records to be changed
                 
              • In Administration, click Globally Change Records
                 
              • In the left frame, select Event, Participant and click New Change
                 
              • In the left frame, select Attended
                 
              • On the Edit Change Parameters screen, select Replace as the operator
                 
              • To mark the Attended checkbox, select Replace Unchecked with Checked.
                To unmark the Attended checkbox, select Replace Checked with Unchecked.
                 
              • Click OK
                 
              • Click Change Now
                 
                 
                • Create a participant export in CSV format. On the Output tab, select Import ID and Name. Include any other fields as appropriate.
                   
                • Open the file in Excel. Rename the header for the Import ID to REGImpID.
                   
                • Delete any participants that should not be updated.
                   
                • Add a column for the appropriate field you want to add or update. For example, if you want to update the participants and mark them as attended, add a column with the header of REGAttended. The headers are available from the Participant Fields section of the Import Guide (PDF).
                   
                • Enter the appropriate value in the new column for each participant. In this example, enter True for each participant.
                   
                • Import the file to update the registrant.
