Note: Before you proceed with the following instructions, back up the database. If your organization integrates multiple Blackbaud products, refer to the Additional Requirements section of the backup solution.


To globally mark the Print Grade on Report Cards and Print Grade on Transcripts checkboxes for all students with grades for a course in a specific marking column, you can either (A) delete grades and re-post from Faculty Access for the Web or (B) use Export and Import

Note: To avoid this process in future academic years, confirm the Print this course on Report cards and Print this course on Transcripts checkboxes are marked on the academic year of the course record before you enter grades for the academic year
 

  1. Delete Grades and Re-post from Faculty Access for the Web
    1. On the Grades page, click Enter grades by course
    2. Select the appropriate school, academic year, and session
    3. In the Course field, select the appropriate course
    4. In the Class field, select the first class of the course
    5. Click in the first row in the grades grid and remove the grade from the appropriate marking column
    6. Select the row, right-click, and select Fill down to remove all grades in the grid
    7. Select File, Save from the menu bar
    8. Use the Class field to select the next class of the course
    9. In the first row in the grid, remove the grade
    10. Select the row, right-click, and select Fill down
    11. Repeat the above steps for each class of the course
    12. Close Grades
    13. Re-post the grades from Faculty Access for the Web

  1. Use Export and Import
     
    1. On the Export page, create a new student export in .CSV format
    2. If applicable, filter the students using a query
    3. On the Output tab select the following fields to export:
      • Student Import ID (Student/Import ID)
      • Class Import ID (Grades/Grades-skills/classes/Import ID)
      • Marking column (Grades/Grades-skills/marking column)
    4. You will be prompted when you select the class field for output for criteria
      • For the number of grades/skills to export, select 1
      • On the Filters tab select the Academic Year, School, and marking column
    5. Select File, Save from the menu bar
    6. Name and save the file
    7. Select File, Export from the menu bar
    8. On the Export file name screen, select the folder in which to save the export. (Make note of the location for future use.)
    9. Name the export file, and click Save
    10. A processing screen appears showing the progress of the export
    11. When the export is finished, click OK
    12. Navigate to the appropriate location and open the export file
    13. Add the following columns to the .CSV file:
      • Print grade on Report Cards
      • Print grade on Transcripts
      • Print comment on Report Cards
      • Print comment on Transcripts
    14. Enter Yes for each row in each column
    15. Save and close the .CSV file
    16. On the Administration page, click Import records
    17. In the list on the left, expand the Grades section and select the Grade import type
    18. Click New Import on the action bar
    19. On the Import - Grade screen, in the What do you want to do? section, mark Import new/update existing records
    20. In the What file do you want to import? section, enter the path to the saved .CSV file
    21. In the What is the format of this file? section, accept the default: Delimited - Characters separate the fields
    22. Select the Fields tab
    23. Map the following fields:
      • Marking column
      • Student Import ID
      • Class Import ID
      • Print grade on Report Cards
      • Print grade on Transcripts
      • Print comment on Report Cards
      • Print comment on Transcripts
    24. Select File, Save from the menu bar
    25. Name and save the file
    26. Click Validate Now
    27. If exceptions exist, click View Control Report

      Note: To print the control report, click the print button on the preview screen
