Note: If only the phone number is different, it is not necessary to stop sharing the address. Skip steps 4-6, and in step 7 be sure to mark the phone number as Not Shared.

     

    Scenario A:


    The individual has the same address and phone that already exists on the existing organization's record:

    • Add the business relationship for the individual.
       
    • Select the Addresses tab on the Individual record.
       
    • Open the desired address.
       
    • Click Shared Addresses .
       
    • Click Stop Sharing this address.
       
    • Click Close.
       
    • Manually change the address and/or phone numbers as desired.
       
    • Click OK to save the changes.
       
       

      No other steps are needed, as the organization's primary address will be automatically added as a Business address on the Individual's Addresses tab. You may just want to go to the Individual's Addresses tab to verify it is the correct address.


      Scenario B:


      The individual has the same address and but a different phone number than the existing organization:

      • Open the Individual
         
      • Select the Relationships tab
         
      • Select Show Business Relationships
         
      • Type in or search for the Organization's name
         
      • Mark Primary Business on the organization's row and enter other data/checkboxes as desired for that row (such as Profession)
         
      • Save and close the Individual.
         
         

        These steps will keep the address lines linked between the individual and the organization, but not the phones (so that when the address is edited on the organization, it will automatically reflect the changes on the Individual's address and vice versa but changes to the phone will not reflect on the other record's address).


        Scenario C:


        The individual has a different address and a different phone number than the existing organization:

        • Open the Individual.
           
        • Select the Relationships tab.
           
        • Select Show Business Relationships.
           
        • Type in or search for the Organization's name.
           
        • Mark Primary Business on the organization's row and enter other data/checkboxes as desired for that row (such as Profession).
           
        • Select the Addresses tab on the Individual record.
           
        • Open the business address that was automatically added when the relationship was added.
           
        • Edit the phone and make sure it is marked as Not Shared or Cannot be shared.
           
        • Save and close the Address, then save and close the Individual.
           
           

          These steps will keep the address lines and phones unlinked between the individual and the organization (so that when the address or phones are edited on the organization, it will not reflect the changes on the Individual's address and vice versa).

          Note: In scenarios B and C, it is important that you make the address changes on the Individual's Addresses tab and not the Organization's Addresses tab.

          • Open the Individual.
             
          • Select the Relationships tab.
             
          • Select Show Business Relationships.
             
          • Type in or search for the Organization's name.
             
          • Mark Primary Business on the organization's row and enter other data/checkboxes as desired for that row (such as Profession).
             
          • Select the Addresses tab on the Individual record.
             
          • Open the business address that was automatically added when the relationship was added.
             
          • Click Shared Addresses, then click Stop Sharing this address, and then enter the correct address/phone information (the phones will default to Not Shared or Cannot be Shared).
             
          • Save and close the Address, then save and close the Individual.
