Note : Before you proceed with the following instructions, back up the database. If your organization integrates multiple Blackbaud products, refer to the Additional Requirements section of the backup article.



 NOTE: If you need to Update multiple Academic Years with the GPA calculation, it would be best to use Export to extract the following fields. Be sure to filter on the preferred grading year It would also be a good idea to output the Academic Year from the Grading Section  and other preferred fields so users can verify which information needs to be updated when working in the Excel document:

  • Course Import ID
  • Course ID
  • Course Name
  • Grading Information Import ID
  • Gpa
  • Weight 


  1. Create a data file or use an existing file.
    • Required Fields
      • Course Import ID
      • Grading Information Import ID (this identifies the specific academic year)
      • GPA
      • Weight
    • Additional Fields that Could be Included Based on Preference (adding these fields would help users verify they are updating the correct course for the preferred year):
      • Course ID
      • Course Name
      • Academic Year
  1. In Administration > click Import.
  2. Click Grading Information (located below Courses) > Click New.
  3. Mark Update existing records.
  4. Browse to the CSV file in the Import file field
  5. Select Course  ID or Course Import ID as the field to use to match records.
  6. Select the File Layout tab and select the Import File does not contain field names option ONLY if your import file does not have header. If your Import File contains the field names, mark Fields names are on the first line of the import file. Field Separators should  be set to Comma  Text Qualifiers is set to Quotation.
    • *Although headers are not required in The Education Edge, we recommend using them. Otherwise, you must manually map the fields in the data file to the corresponding fields in The Education Edge. The format of this import file?: Delimited Characters separate the fieldsUser-added image
  1. Select the Fields tab and map the fields
  2. Note: Users can rename the headers within Excel. In the example above, the headers were not renamed so they show fields names as exported from the Export Module. If users will importing more than one GPA type, they'll need to use Extensions so the appropriate GPA is matched up with the appropriate GPA weight.
  1. Save the import parameters.
  2. Click Validate now (if we marked Validate data only on the general tab) or Import
