Grade level is incorrect or missing on the Student Directory and Family Directory reports

When creating a Family Directory or Student Directory report, the grade level associated with the students is either incorrect or missing. When the directory processes, each student's grade level is accessed from the Student Progression Entry for the academic year in which the current date falls. As a result, the following are some possible causes of an incorrect or missing grade level for students:

  • The current date falls within the previous academic year.
  • The current date does not fall within any academic year.
  • The student does not have a Student Progression Entry for the academic year in which the current date falls.
     
Take the following steps if a student's grade level is incorrect or missing on the report:
 
  • Verify the current academic year includes the current date:
    1. On the Configuration page, click Academic Years.
    2. In the School field, select the appropriate school.
    3. Select the appropriate academic year record and click Open on the action bar.
    4. On the General tab, change the start date or end date so the current date falls within the academic year.
      Notes:
      • An academic year cannot span longer than 365 days.
      • The academic year should include all dates when employees are working in the school. For example, last day of school for students is June 1st, but teachers will be working on transcripts, report cards, scheduling, until July 15, the Academic Year should reflect this date range. The Term dates are used to define when the students are attending schools.
    5. Click Save and Close.
    6. Rerun the report.
