In Configuration, you create templates that translate the fields on a record into salutations you can select on the Addressees/Salutations tab. You must create different templates for men's and women's records. For example, a template that uses the following information is correct only for men's records:

  • Title 1
  • and
  • Spouse title 1
  • First name
  • Last name

On the Addressees/Salutations tab of men's records, this template gives you the option Mr. and Mrs. William Smith.

However, on women's records, the template gives you the option Mrs. and Mr. Margaret Smith. This is because the program "considers" the record you have open to be the main record regardless of gender.

To create the template for Mr. and Mrs. William Smith to be selected on women's records:

  1. Open Configuration and click Addressee/Salutations
  2. Click New Salutation
  3. In each row of the Field Name column, select the following fields:
    • Spouse title 1
    • and
    • Title 1
    • Spouse first name
    • Spouse last name

Note: Although the Preview on the New Salutation screen shows Mrs. and Mr. Margaret Smith, this template gives you the option Mr. and Mrs. William Smith on the Addressees/Salutations tab of women's records.
  4. When the new addressee/salutation format is correct, click Save and Close

Note: To query on records with an addressee/salutation of Mrs. and Mr., refer to BB306260.
