In versions prior to 7.80.1122, revision 16:

If users do not have rights to view credit card information:

  • They are unable to enter or import credit card information on records or in a batch.
  • Credit card information appears grayed out on constituent and gift records.
  • Credit card fields are not available to select in reports, queries, exports, batches, and mailings.
  • If a user previews or prints saved parameters that include credit card fields, the information does not appear in the results.

In version 7.80.1122, revision 16 and the higher revisions (not including version 7.81)

The restrictions depend on the security settings. Rights can be given to enter or view credit card information using the following two options:

Users who are members of Groups with one or both of the checkboxes unmarked have limited access to certain functions, which are detailed below:

Credit Card Data Entry:

  • With rights, users are allowed to enter and view credit cards in Records and Batch and import credit cards to the database via Import and NetSolutions.
  • Without rights, a user is NOT able to perform the following functions:
    • Records:
      • Enter or view credit card information on a constituent or gift.
      • View credit card information via the Columns option on record tabs.
      • Convert an individual constituent to an organization constituent.
    • Batch:
      • Open an existing batch with credit card fields or select credit card fields in a new or existing batch.
      • Automatically generate credit card payments/transactions. Note that the auto-generate option runs for credit card gifts, but the credit card information is blank. Also, there is a separate Batch security option for this function, so not all users with Credit Card Data Entry rights must have the rights to generate transactions/payments.
      • Create transmission files for batches that have credit card fields. Since these users are not able to open the batch, they are not able to create the transmission file. Note that there is a separate Batch security option for Create transmission files, so not all users with Credit Card Data Entry rights must have the rights to perform this function.
      • See credit card fields in the constituent window of a gift batch.
    • Administration:
      • Merge constituent biographical fields.
      • Globally change credit card fields.
    • United Way:
      • See credit card information on a UW pledge card.
      • Obtain credit card information from the constituent on a UW pledge envelope.
      • Enter a credit card UW pledge.
    • Import:
      Import gift credit card information.
    • NetSolutions:
      Import NetSolutions donations.
    • API:
      Add, delete, or change credit card information via the API module.
    • RE:Anywhere:
      All options that are present in RE: Anywhere restrict access to credit card information in a similar manner as the Windows version of The Raiser's Edge.

Credit Card Output:

  • With rights, users are allowed to output credit card numbers in Query, Export, and Reports.
  • Without rights, a user is NOT able to perform the following functions:
    • All/Multiple Modules:
      Export, Export to Excel, and Print from the options that are available on grids that contain credit card information. In Batch, the grid exports/prints, but the credit card information is blank.
    • Records:
      Print Letters with credit card information from the Letters menu.
    • Query/Export:
      • Open existing queries or exports with credit card fields.
      • See credit card fields in new and existing queries or exports.
    • Batch:
      • Print/preview the Credit Card Report.
      • See the credit card number on the Batch Validation Report and Batch Deposit Ticket. If a user does not have output rights, the credit card prints with a mask on the reports. If the user does have output rights, the entire credit card number prints on the reports.
    • United Way:
      See credit card information on the Pledge Envelope Validation Report. If a user does not have output rights, the credit card information is blank on the report. If a user does have credit card rights, the entire credit card number prints on the report. Note: The Pledge Envelope Validation Report has the same functionality as the Batch reports in The Raiser's Edge version 7.81.
    • Reports:
      • Print credit card information on Profiles. Users without the Credit Card Output rights can print a profile with biographical information, but the credit card information does not print.
      • See the credit card number on the Gift Entry Validation Report. If a user does not have output rights, the credit card prints with a mask on the report. If the user does have output rights, the entire credit card number prints on the report.
      • Use a query with credit card information on a Pivot Report.
    • Mail:
      Process the following functions with credit card information: Donor Acknowledgement Letters, Follow-up Letters, Honor/Memorial Acknowledgement Letters, Membership Cards, Volunteer Follow-up Letters. Note that the credit card number is masked in these functions, even if the user does have Credit Card Output rights. Note: Regardless of Credit Card security rights, Receipts, Renewal Notices, and Phonathon forms always print the credit card number in a masked format.
    • Custom Views:
      See credit card fields on a custom view. Users can select a custom view with credit card fields, but the credit card information does not display.
    • Import:
      Create a constituent or gift import file with credit card information. The credit card fields can be selected, but the credit card information is not included in the file if the user does not have Credit Card Output rights.
    • API:
      Only users with Data Entry rights can see credit card numbers via the API module.
    • RE:Anywhere:
      All options that are present in RE: Anywhere restrict access to credit card information in a similar manner as the Windows version of The Raiser's Edge.
