You must create two exports to produce the standard line of Target Analysis Group products:
  • A Constituent export that includes basic constituent information
  • A Gift export that includes gift and transaction information

Notes:

  • Use a Four digit year format for all date fields (e.g. DD-MM-YYYY)
  • Export the Long Description for your Constituency Codes, Campaigns, Funds and Appeals
  • Provide definitions for codes that do not have long descriptions (e.g. attributes, solicit codes)

If you are unsure about whether Target Analysis will need a particular field, include it as it is easier to ignore a field than to rerun an export.

  1. Create the Constituent query and export: You must include all of your individual constituents (e.g. deceased, inactive, and no valid addresses) and their giving history.
    1. Create the query of records to include
      1. Create a new Individual Query
      2. On the Criteria tab, mark the checkboxes to include Inactive, Deceased and Constituents with No Valid Address. Do not select additional Criteria.
    2. Create the Constituent export:
      1. Create your Constituent Export
      2. Select Comma-Separated Values as the Export Format
      3. Mark the checkbox to Include Header
      4. Click Create Now
      5. On the General tab:
        • Include the query created in part one
        • Under Head of Household Processing, mark Export Both Constituents Separately
        • Under Include these Constituents, mark deceased, inactive, and no valid address
      6. On the Output tab, select:
        Biographical, Import ID
        Biographical, Key Indicator
        Biographical, First Name
        Biographical, Middle Name
        Biographical, Last Name
        Biographical, Deceased?
        Biographical, Deceased Date
        Biographical, Inactive?

      7. Include any other suppression flags you have such as attributes, address attributes, solicit codes
      8. Click Export Now
  2. Create the Gift export:
    1. Create the gift query:
      1. Create a new, static Gift Query
      2. Select Tools, Query Options from the menu bar
      3. Select the Gift Processing tab and select to Credit Soft Credits to Donor and Credit Matching Gifts to Matching Gift Company
      4. Click OK
      5. On the Criteria tab, select:
        Constituent, Key Indicator equals Individual
        AND Gift Information, Gift Type one of Cash, Pay-Cash, Stock/Property, Stock/Property (Sold), Pay Stock/Property, Pay-Stock/Property (Sold), Gift-in-Kind, Pay Gift-in-Kind, Other, Pay-Other, Recurring Gift Pay-Cash, and Planned Gift
      6. Save and close the query
    2. Create the gift export:
      1. Create a new Gift Export
      2. Select Comma-Separated Values as the Export Format
      3. Mark the checkbox to Include Header
      4. Click Create Now
      5. On the General tab:
        • Include the query created in part one
        • Under Head of Household Processing, mark Export Both Constituents Separately
        • Under Include these Constituents, mark deceased, inactive, and no valid address
      6. On the Output tab, select:
        Import ID
        Amount
        Date
        Type
        Campaign
        Fund
        Appeal
        Pay Method
        Anonymous?
        Constituent, Biographical, ImportID
        Linked to Memberships, Type
      7. Highlight New Gift Export at the top of your Output selection, and click Criteria
      8. On the General Tab:
        • Select Gift Date as the Date to use
        • Select Include all Dates for the Date
        • Leave Start and End Amounts Blank for the Include Gifts for these amounts
        • Soft Credit Gifts to Donor
        • Credit Matching Gifts to the MG Company
      9. Select the Filters tab, and ensure the Campaign, Funds and Appeals set to All
      10. On the Gift Types tab, select: Cash, Pay-Cash, Stock/Property, Stock/Property (Sold), Pay Stock/Property, Pay-Stock/Property (Sold), Gift-in-Kind, Pay Gift-in-Kind, Other, Pay-Other, Recurring Gift Pay-Cash, and Planned Gift
      11. Click OK
      12. Click Export Now
