Note: To export multiple phone numbers for a record (for example, Home and Business) and ensure the export includes the phone numbers in the same order for each included record, you must add multiple Contact Information fields into the Output with one contact type selected for each.

For example:

  • Jane's record includes home and business numbers
  • Michael's record includes only a business number
  • Peter's record includes only a home number

By selecting only one contact type each time you include a field in the export, the export file will align the phone numbers:

If the order of the phone numbers in the export is not relevant, review How to export phone types and phone numbers including email addresses and how to export more than one (BB3382).


To export multiple phone numbers in the same order for each included record:
  1. In Export, create a student, applicant, faculty/staff, or individual export.
     
  2. Select the Output tab.
     
  3. In the Available Fields box, under the first category, select the appropriate fields to export. For example, in the Student category, select Student ID and Student name.
     
  4. Under Addresses, Contact Information, select the Contact type field
    • Note: To export the contact numbers from a relation, select the contact type and contact number under Relationships, Person Relation, Addresses, Contact Information.
    • Note: The Addresses window will pop up if no prior address fields were added to the export. If not exporting addresses, click ok
  5. On the Contact Information screen, enter 1 in the For each Address, enter the number of Contact Informations to export field.
     
  6. Mark Selected Contact Types, use the right arrow button to move one type (such as Home or Cell) to the box, and click OK.

  7. Select Addresses, Contact Information, Contact number.

    Note: You do not have to define criteria for this field because it is in the same "group" as the field you just selected.
     
  8. Under Addresses, Contact Information, select the Contact type field. Click Yes on the screen that appears asking if you want to create a new group.

  9. On the Contact Information screen, enter 1 in the For each Address, enter the number of Contact Informations to export field.
     
  10. Mark Selected Contact Types, use the right arrow button to move one type to the box, and click OK. Note that the export includes two groups of the Contact Information fields.

  11. Select the contact information fields as many times as needed to export the number of contact types you want in the export.
     
  12. Select other export fields as appropriate.
     
  13. Select File, Save from the menu bar. Name and save the export.
     
  14. Select File, Preview Export File from the menu bar.
