A Cross-Tab report displays data in a grid similar to a spreadsheet. These reports are easy to read and are particularly useful for making rapid comparisons or identifying trends. The Cross-Tab screen makes it easy for you to set up sophisticated Cross-Tab reports quickly.

Cross-Tabs are objects, which means they can be inserted into other reports. You can have a report containing a combination of report types. For example, you may have a main report of constituents and their addresses, a sub-report containing all your solicitors and their phone numbers, and a Cross-Tab object that shows you the total donations to each fund this year. It is also possible to use a Cross-Tab in a sub-report.

You can place Cross-Tab objects only in the Report Header, Report Footer, Group Header or Group Footer. The Cross-Tab's location affects the records included in the Cross-Tab. When placed in the Report Header or Footer sections, the Cross-Tab displays once on the report and includes all the records meeting the Record Selection criteria. If placed in the Group Header or Footer, a Cross-Tab appears on the report once for each group and only the records in that group are in the Cross-Tab. The Cross-Tab summarizes the data for each group.

To insert a Cross-Tab object into an existing report:

  1. Select Insert, Cross-Tab from the menu bar. The Cross-Tab screen appears.
  2. Click Add Row and Add Column to add row headings and column headings to your report. For example, let's say you are creating a report with each state across the top and each fund down the page and a total gift amount for each fund, per state. Place State in the Columns box, Fund in the Rows box, and Gift Amount in the Summarized Fields box. 
  3. After selecting the fields to use in the Cross-Tab, click OK and place the Cross-Tab in a report section. These parameters create a Cross-Tab that looks something like this:

Cross-Tabs allow you to insert additional information to your reports that are easy to read and provide valuable information.
