Follow these steps to export phone numbers or email addresses of a specific type to the same column. You will export the phone number field multiple times, once for each phone type to export. For example, to export the Home and Business phone numbers, export Phone Number twice: once using filters to select the home phone number and once using filters to select the business phone number. If you export the Phone Number field only once and a constituent does not have a Home (or Business) phone number, The Raiser's Edge does not leave a blank column for this phone type. This may cause the Home and Business phone number for different constituents to appear in the same column.

For example:

Jane has a Home phone and Business phone.
Michael has a Business phone.
Peter has a Home phone.

The steps below create an export file in the following format:

Note: If you don't need the phone numbers or email address in specific columns, refer to How to export phone types and phone numbers including email addresses (BB3382).

  1. Create a Constituent export.
  2. On the Output tab:
    • In The Raiser's Edge 7.94 and higher:
      • For constituents, select Phones > Phone Number
      • For relationships or contacts, select Relationships > Individuals (or Contacts) > Phones > Phone Number (Note: If selecting a relationship phone number, a prompt to select the relationship type. Set the relationship criteria and then proceed to step 3.)
    • In Raiser's Edge 7.93 and previous versions: 
      • For constituents, select Preferred Address > Phones > Phone Number (If needing to look at the phone numbers from any address, select the Phone Number field from the All Addresses category instead.)
      • For relationships or contact, select Relationships > Individuals (or Contacts) > Addresses > Phones > Phone Number (Note: If selecting a relationship phone number, a prompt to select the relationship type. Set the relationship criteria and then proceed to step 3.)
  3. On the Phones screen, enter 1 for the number of phone numbers to export. ((Note: If selecting a relationship phone, a prompt to set the relationship field criteria may appear first. Set those details and
  4. Choose Selected Phones and move Home over to the right. Click OK.

  5. Under Output, highlight the name of the export in bold letters.

  6. From the list of available fields, highlight Phone Number (Note: Return to the same field selected in step 3. If selecting relationship phone numbers, the relationship type prompt will not occur again if adding phones to the same relationship in the output.)
  7. Double-click the field to add it to the Output frame.
  8. On the Phones screen, enter 1 for the number of phone numbers to export.
  9. Choose Selected Phones and move Business over to the right. Click OK.

  10. Repeat steps 5 through 9 for each additional phone/email desired.
  11. Select any other appropriate fields and click Export Now to generate the data.
