To pay a pledge in Records:
 

  1. In Records, click Gifts.
  2. Open the appropriate gift or add a new one. If paying a matching gift pledge, open the pledge on the matching gift organization's record.
  3. If prompted, click Yes to the message:


    This constituent has at least one outstanding pledge.  Would you like to apply this gift to a pledge?
     
    Otherwise, select Gift, Apply to Pledge on the menu bar. 

  4. The Apply Gift to Pledge(s) screen appears. Enter the amount of the gift in the Payment Amount field.
  5. Mark the Pay? checkbox next to the appropriate pledge(s), ensuring that the payment amount is less than or equal to the pledge balance. Note: To apply a payment to another constituent's pledge, click Load Pledges From and browse for the appropriate constituent's pledge.

    The payment displays on the payer's record, and the pledge balance updates on the pledge record. 

  6. Click Auto-distribute.
  7. Click OK.
  8. Change the gift type, if appropriate. For example, the gift type defaults to Cash but the constituent paid with stock; in this case, change the gift type to Stock/Property.
  9. Click Save and Close. 
     

To apply individual gifts in a batch to a pledge: 

  1. On the batch data entry screen, enter the name of the constituent. If paying a matching gift pledge, enter the name of the matching gift organization.
  2. If prompted, click Yes to the message:


    This constituent has at least one outstanding pledge.  Would you like to apply this gift to a pledge?
     

    Otherwise, select Gift, Apply to Pledge on the menu bar.
     
  3. The Apply Gift to Pledge(s) screen appears. Enter the amount of the gift in the Payment Amount field.
  4. Mark the Pay? checkbox next to the appropriate pledge(s), ensuring that the payment amount is less than or equal to the pledge balance.
     

    Note: To apply a payment to another constituent's pledge, click Load Pledges From and browse for the appropriate constituent's pledge. 

     The payment displays on the payer's record, and the pledge balance updates on the pledge record. 

  5. Click Auto-distribute.
  6. Click OK.
  7. Change the gift type, if appropriate. For example, the gift type defaults to Cash but the constituent paid with stock; in this case, change the gift type to Stock/Property.
  8. After entering all gifts into the batch, commit the batch.
     

To apply all gifts in a batch to the constituents' pledges:

To apply payments automatically when you commit the batch, mark the Automatically apply gifts to pledges and recurring gifts checkbox on the Commit Gift Batch screen.

The gift applies to the constituent's oldest outstanding pledge to the same fund. If there is no outstanding pledge to the same fund, the gift applies to the constituent's oldest outstanding pledge.

If you also mark the Only apply gifts to pledges and recurring gifts with the same fund(s) checkbox, the gift is applied only if its fund matches the pledge's fund. If no such pledge exists, the gift is committed as a regular cash gift, even if the constituent has other outstanding pledges to other funds.
