Features available with the Accounting Forms module:

  • Accounts Payable:
    With Accounting Forms installed, a user can select to print checks to blank paper. IMPORTANT - The option to print checks using Accounting Forms is only available with Accounting for Nonprofits version 6.20 and higher.
  • Accounts Payable - EFT:
    With Accounting Forms installed, the following options appear:
    • Print checks to blank paper - watermarked blank check stock {Double stub laser checks (Blank Paper), Single stub laser checks (Blank Paper).
    • Print EFT notices to blank paper (Double stub EFT notice or Single stub EFT notice).
  • Accounts Payable - Purchase Orders:
    With Accounting Forms installed, the following options appear:
    • Print checks to blank paper {(Double stub laser checks (Blank Paper), Single stub laser checks (Blank Paper)}.
    • Print Purchase Orders to blank paper (laser-printer format option).
  • Accounts Payable - Purchase Orders/EFT:
    With Accounting Forms installed, the following options appear:
    • Print checks to blank paper {Double stub laser checks (Blank Paper), Single stub laser checks (Blank Paper)}.
    • Print Purchase Orders to blank paper (laser printer option).
    • Print EFT notices to blank paper (Double stub EFT notice or Single stub EFT notice options).
  • Student Billing:
    With Accounting Forms installed, the following Statement form options appear on the Format tab of Statements in the Mail module:
    • The Laser-printed Charge/Credit and Laser-printed Amount/Balance options are only available with Accounting Forms.
    • When selecting one of these options, you can click on the Options button to define additional information:
      • Include shading for each heading
      • Print Logo on Form
    • You can indicate a bitmap (picture) to print in place of the organization's name and address. They choose to print a large or small logo.
  • Accounts Receivable:
    With Accounting Forms installed, a new prompt appears on the Format tab of Invoices and Statements in the Mail module. The choices are:
    • Pre-printed laser format - indicates they are using forms purchased from us.
    • Laser printed format ? form printed to blank paper (option used with Accounting Forms module)
      Note: Only when you install Accounting Forms does this prompt appear on the Format tab. With Accounts Receivable, a user can only purchase laser forms. It is not like Purchase Orders where a user can purchase pre-printed dot matrix or laser PO forms.
  • Statement Format tab:
    If you select the Laser-Printed format, you can also choose additional options:
    • Include shading for each heading
    • Print Logo on Form

Rules for using Accounting Forms:

  • Accounting Forms works best on an HP Laser printer.
  • A MICR (micro encoded) cartridge is required to print checks. This contains magnetic particles that allows the bank to read the check information.
    Note: Only use this cartridge to print checks since it is slightly more expensive than a normal ink cartridge. It may be more convenient to have a separate printer for checks so you do not have to switch cartridges.

When installed, the Accounting Forms optional module does not appear as a separate program. Depending on the products purchased, the optional module gives additional print options to print information to blank paper rather than purchasing preprinted forms from Blackbaud or another vendor

Note: There is no option to print Canadian checks on blank paper with Accounting Forms.  This is due to the strict requirements laid out by the Canadian Payments Association.  Preprinted AP Canadian checks are, however, available in single and double stub formats through Blackbaud Forms.
