Note: Blackbaud offers these steps for your assistance with merging files in Access. If you need assistance with these steps, please contact Microsoft Support or access their Knowledgebase as Microsoft Access is not a Blackbaud product.
     
    • Go to Contacts > Database Management > Manage Contacts > Import Contact.
     
    • Place the cursor of the import that has the exception and go to to Detail.
     
    • Click View Records next to Total # of records.
     
    • Click Choose Columns.
     
    • Choose Alternate_ID, First Name, Last Name, Address, City, State and Zip.
     
    • Click Export XLS to export the document, choose a location and save.
     
    • Compare this file with the import file in Microsoft Access.
     
       
      • Open Microsoft Access and select File, New, Blank Database.
       
      • Select a location on the hard drive and name the database.
       
      • With Tables selected on the left navigation menu, select New. The table type will be Import Table and browse out to the file used to import records
       
      • Click Next, select Comma as the text qualifier and select "First Row Contains Field Names".
       
      • Continue to click Next (all default options can be used) and enter in the name for this table as "Import File". Click ok and the table will be added to the database.
       
      • With Tables selected on the left navigation menu, select New. The table type will be Import Table and browse out to the file exported in steps 1-6.
       
      • Click Next through the Default options. Name the table "Updated Records" and click Finish to add the table.
       
      • Select Queries in the navigation bar and click New. Choose Find Unmatch Query Wizard.
       
      • In step 1 choose Import File, Click Next.
       
      • In step 2 choose Updated Records, click Next.
       
      • Highlight Alternate_ID in both tables and click the button. This will set the field we are comparing between the two files, click Next.
       
      • Click the >> button to pull all fields over that will show in the new query click Next.
       
      • Name the query Import Exceptions and click Finish
       
      • Open the Query Import Exceptions to see the records that were not imported into the database.
       
      • Use this file to create a new, smaller import or add\update the records manually in Sphere.
