The Pledge Status Report includes pledge activity falling within the report's date range for pledges made after a date you specify. It comes in two formats (Format 1 and Format 2) and two types (Detail and Summary).

To run the report:

  1. Click Reports, Pledge and Recurring Gift Reports, Pledge Status Report. 
  2. On the General tab:
    • Click Include to select a query or use the default: All records  
    • In the Include Gifts with these dates frame, enter the date range for which you want to view pledge activity. In the Include pledges made after field, enter the beginning date to use for pledges. Pledges made after the specified date are included; pledges made before the specified date are not included.

      For example, let's consider a pledge made on 2/15/2003 with a single pledge payment made on 4/15/2004. 

      If the report's date range is 4/1/2004 — 6/30/2004, and the Pledges made after date is 1/1/2004, the pledge and pledge payment are not included because the pledge date (2/15/2003) falls before the Include pledges made after date (1/1/2004). 

      If the Include pledges made after date is 1/1/2003, the pledge and the payment are included.

      If the Include pledges made after date is 1/1/2003 and the report's date range is 5/1/2004 — 5/31/2004, the pledge is considered by the report. The payment, however, is not included in the Date Range columns. Instead, the payment appears in the Prior to column because it was made prior to the report's start date.
  3. In the Soft Credits to frame, select Donor, Recipient, or Both. We recommend setting this option to Donor because viewing the report from the perspective of the donor provides the most accurate picture of a pledge's status.
    Note: The recipient may not be soft credited for the full amount. If you have this situation and you report based on the soft credit recipient, the pledge balances may not truly reflect the real pledge balance.  
    • In the Include these constituents frame, mark the appropriate checkboxes:
      • Inactive constituents 
      • Deceased constituents 
      • Constituents with no valid addresses 
    • In the Credit Matching Gifts to frame, select Donor, MG Company, or Both 
    • In the Report Type frame, select Detail, Summary, or Both:
      Detail includes constituent name and address information along with the pledge information.
      Summary totals pledge information by fund and does not include constituent name and address information. 
    • Mark the Create output query checkbox, as needed, and select the type of query (Constituent or Gift). 
  4. On the Filters tab, filter by constituent codes, appeals, campaigns, and/or funds.
    Note: If pledges and their payments are not applied to the same appeals, campaigns, and/or funds, consider using the default setting: Include All. For example, if the pledge's fund is Annual Fund 2003 and the payment's fund is Annual Fund 2004, and you filter on Annual Fund 2003, the payment is not included. If you filter on Annual Fund 2004, neither the pledge nor the payment appear because the pledge is excluded by the report filters.  
  5. On the Gift Types tab, select whether to include Pledge, MG Pledge, or both. You can also exclude zero amount gifts, include outstanding pledges only, and select to calculate gift balance based on the date range, campaign, fund, and appeal.   6. On the Attributes tab, include or exclude records based on constituent or gift attributes. When considering gift attributes, the report considers attributes on the pledge, not the payments.
  7. On the Columns tab, you can add/remove selected columns, adjust column widths, or change the order of columns.
  8. In the Ind. Address tab, select which address, if any, to use for individuals. For more information on address processing, refer to How does address processing work in The Raiser's Edge 7.
  9. On the Org. Address tab, select which address, if any, to use for organizations.
  10. On the Format tab, highlight Detail in the left frame. In the right frame, determine which format to print. Click Print or Preview.

      • Date: Date of original pledge
      • Master Pledge: Amount of the original pledge, Regular or Master  
      • Prior to Payments: Pledge payments made prior to the report start date  
      • Prior to Written Off: Write-offs made prior to the report start date  
      • Payments: Payments made within the report's date range  
      • Written Off: Write-offs made within the report's date range  
      • Pledge Balance: Master Pledge Amount minus any payments (In the UK, this takes into account the net or gross options in User Options) and write-offs

      • Date: Date pledge was made  
      • Amount Pledged: Amount of original pledge, regular or master, made after the General tab's Include pledges made after date  
      • Previous Balance: Balance outstanding the day before the report's start date
      • Pledged: Amount of original pledge, regular or master, made within the report date range. If no pledges fall within the report date range, the amount is $0.  
      • Payments: Payments made toward the pledge within the report's date range
      • Written Off: Amounts written off during the report date range  
      • Pledge Balance: Previous balance plus amount pledged minus payments and write-offs.
